GENERAL SUMMARY

Provides administrative support functions and facilitates communication to department(s).   Performs receptionist duties as needed.

ESSENTIAL DUTIES & RESPONSIBILITIES

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.

  • Provides exemplary customer service by phone, in-person, or email, and serves as the first point of contact for guests, visitors, and employees. Addresses any questions or concerns; refers callers or visitors to other services and/or resources when appropriate.
  • Performs administrative support functions for multiple departments and managers, including data management for programs and activities related to the organization. 
  • Assists in and/or prepares correspondence, reports, bids, purchase orders, contracts, billing, and other documents related to ongoing programs and activities.
  • Assists with business processes including detailed budget tracking and maintenance.     
  • Maintains the electronic records filing system and serves as a member of the agency-wide records liaison team. 
  • Prepares agendas, meeting minutes, forms, reports, spreadsheets, tables, and other department-related documents.
  • Oversees departmental purchasing including travel-related expenses and supplies. 
  • Performs purchasing card reconciliation and review. 
  • Coordinates events and related travel arrangements, as assigned. 
  • Assists in maintaining fleet vehicles by addressing any complaints and scheduling required maintenance.
  • Performs related work as required.

SUPERVISORY REQUIREMENTS

  • This position does not directly supervise any employees.

MINIMUM QUALIFICATIONS

Required Education and Experience

  • High School diploma or G.E.D. equivalency, and two (2) years’ experience in administrative support; or a combination of experience and education that results in the required knowledge, skills, and abilities.

Required Licenses or Certifications

  • None 

  Must have and maintain a valid driver’s license and an insurable driving record.
