JOB SUMMARY
Billing Specialists provide administrative backing to project teams developing billings, financial accruals, and financial forecasts.  Primary responsibilities also include assisting project teams with data entry for project controls, permits, and contract management. This role collaborates with project leadership including budget oversight, client deliverables, and vendor management. Ideal candidates demonstrate initiative, precision, and willingness to learn and grow.
 
PRIMARY RESPONSIBLIITIES
  • Provide administrative assistance in tracking time, developing invoices, and project documentation.
  • Input and organize data using Excel spreadsheets and Viewpoint software.
  • Support billing process by preparing invoice documents and maintaining accurate records.
  • Assist in tracking contracts, requesting purchase orders and subcontract, and change orders.
  • Compile and distribute standard reports for project leadership as required.
  • Participate in monthly cost and revenue monitoring for Project Controls.
  • Input billed amounts in various reports and Project Schedules for Key Performance Indicators (KPIs).
  • Coordinate with vendors and subcontractors.
  • Maintain daily timecards and ERP software inputs.
  • Complete onboarding training on financial systems and internal policies.
  • Contribute to overall team efficiency while upholding company standards.
REQUIREMENTS
  • High School Diploma required, Associate degree or equivalent relevant work experience preferred
  • 1–2 years of experience in construction or project-based billing required
  • Proficiency with MS Office, especially Excel and Outlook
  • Strong written and verbal communication skills
  • High level of accuracy and consistency, particularly under deadlines
  • Technologically competent; comfortable using ERP/accounting systems and Excel
  • Experience with Viewpoint software preferred
  • Ability to maintain confidentiality of sensitive financial information
  • Strong organization, and time management skills
  • Able to work independently and proactively resolve billing discrepancies
  • Ability to sit at a desk and use a computer for extended periods of time
  • Ability to operate a computer, keyboard, mouse, phone, and other standard office equipment
  • Ability to lift and carry items such as files, boxes, or office supplies (typically up to 20 lbs)
