About the Role:

The Medical Records Specialist plays a critical role in managing and maintaining accurate and confidential patient health information within healthcare facilities across the United States. This position ensures that medical records are complete, organized, and accessible to authorized personnel, supporting effective patient care and compliance with legal and regulatory standards. The role involves meticulous attention to detail to verify the accuracy of records, update patient information, and facilitate the secure handling of sensitive data. The specialist collaborates closely with healthcare providers, administrative staff, and external agencies to coordinate the flow of information and support clinical decision-making. Ultimately, this position contributes to the overall efficiency and quality of healthcare delivery by safeguarding the integrity and confidentiality of medical records.

Minimum Qualifications:

  • High school diploma or equivalent required; associate degree or certification in health information management preferred.
  • Proven experience working with medical records or health information systems in a healthcare setting.
  • Familiarity with medical terminology, coding systems (such as ICD-10 and CPT), and healthcare documentation standards.
  • Strong understanding of HIPAA regulations and patient privacy laws.
  • Proficiency in using electronic health record (EHR) software and basic office software applications.


Responsibilities:

  • Review, organize, and maintain patient medical records in both electronic and paper formats to ensure accuracy and completeness.
  • Verify the accuracy of patient information and update records as necessary to reflect current health status and treatments.
  • Ensure compliance with federal, state, and facility regulations regarding the confidentiality and security of medical records.
  • Coordinate with healthcare providers, insurance companies, and other authorized entities to facilitate the release and transfer of medical information.
  • Utilize electronic health record (EHR) systems to input, retrieve, and manage patient data efficiently.
  • Conduct regular audits of medical records to identify and correct discrepancies or missing information.
  • Assist in training staff on proper documentation procedures and the use of medical records systems.
  • Respond to requests for medical records in a timely manner while maintaining patient privacy and confidentiality.
