Fleet & Safety Manager Company: The Rapid Group Location: 285 Straight Street, Paterson, NJ Position Type: Full-Time Salary Range: $100,000 – $130,000 per year (based on experience) Travel: Up to 30% to other company locations Position Summary The Fleet & Safety Manager is a leadership role responsible for overseeing fleet maintenance operations, transportation compliance, and construction/jobsite safety programs across all The Rapid Group locations. Based at our Paterson, NJ headquarters, this position ensures fleet reliability, regulatory compliance, adherence to environmental health & safety standards, cost control, and the development of a strong safety culture company-wide. This role requires a strategic yet hands-on leader with deep expertise in heavy-duty fleet management, DOT/OSHA compliance, and construction safety oversight. Key Responsibilities Fleet Maintenance & Compliance • Travel to and monitor multiple shops and field locations for efficiency, safety, and maintenance compliance. • Oversee preventative maintenance programs for all company-owned trucks, service vehicles, and equipment. • Inspect equipment at shop and non-shop locations to ensure proper vendor PMs and repairs. • Review repair quality to reduce breakdowns, increase uptime, and minimize out-of-service equipment. • Audit maintenance records and documentation to ensure DOT compliance. • Monitor KPIs, productivity metrics, and labor goals for mechanics and shop personnel. • Screen, evaluate, and manage maintenance vendors to ensure adherence to company policies and cost controls. • Develop fleet lifecycle planning, capital forecasting, and asset replacement strategies. • Ensure compliance with pre- and post-trip inspection requirements. Safety & Jobsite Management • Maintain safe jobsites and monitor daily construction activities to identify and correct safety deficiencies. • Conduct daily site inspections and enforce environmental, health, and safety regulations. • Ensure compliance with OSHA, DOT, state, and local safety laws and remain current on regulatory updates. • Ensure contract safety specifications are adhered to across projects. • Coordinate with project overhead teams, superintendents, subcontractors, and owners as necessary. • Review and monitor monthly project safety statistics for accuracy. • Monitor subcontractor safety training, reports, and man-hour documentation. • Maintain Safety Data Sheets (SDS) and Hazard Communication programs. • Gather toolbox talks and safety reports from foremen and subcontractors. • Prepare and distribute safety committee meeting minutes and weekly safety coordination meeting documentation. • Purchase and manage safety equipment and PPE inventory. Training, Incident Management & Compliance Administration • Assess organizational safety training needs and schedule required programs. • Conduct new hire safety orientations. • Ensure required training certifications are documented and current. • Set up and coordinate drug testing for new craft employees. • Review accident procedures with superintendents and managers. • Complete incident reports, lead investigations, conduct root cause analysis, and maintain proper files. • Maintain all documentation related to accidents, safety audits, and compliance tracking. • Originate intake of EEO, harassment, and workplace violence claims and forward to HR. Leadership & Development • Lead, mentor, and evaluate mechanics, shop managers, field supervisors, and safety personnel. • Train and coach team members in proper maintenance and safety best practices. • Drive continuous improvement across fleet uptime, safety metrics, and operational efficiency. • Provide executive leadership with safety trends, compliance status, and operational reporting. • Promote a proactive safety culture across all departments and locations. Required Qualifications • High School Diploma or equivalent required; Bachelor’s degree in Safety Management, Business, Logistics, or related field preferred but not required. • Minimum 5 years of fleet maintenance and transportation management experience (military equivalent considered). • 5+ years of fleet & safety management experience • Strong knowledge of heavy-truck mechanical and electrical systems. • In-depth understanding of DOT, OSHA, and transportation compliance regulations. • Ability to interpret and apply laws, contracts, labor agreements, and regulatory requirements. • Excellent analytical and problem-solving skills. • Strong leadership, organizational, and communication skills. • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). • Valid driver’s license with satisfactory driving record. • Ability to travel up to 30%. Desired Certifications • OSHA 10 • OSHA 30 (Or willingness to complete if you have OSHA 10) • Other relevant safety certifications Physical Requirements • Ability to safely walk and stand for extended periods, including outdoor jobsite environments. • Ability to lift 50 lbs frequently and over 75 lbs occasionally. • Ability to bend, climb, reach overhead, squat, kneel, push, and pull as required.
