Position Purpose
The Purchasing Manager provides strategic oversight and operational management of purchasing activities for both the school and church ministries. This role ensures that all departments have the resources needed to effectively support students, faculty, staff, and ministry programs while maintaining strong stewardship of financial resources.
The Purchasing Manager develops efficient purchasing systems, manages vendor relationships, negotiates contracts, and ensures purchases align with budget priorities and organizational standards. This is a Shared Services role that supports both Academy and Church operations.
This position plays a key role in promoting operational excellence, fiscal responsibility, and service-minded support to departments across the organization.
Key Responsibilities
Purchasing & Procurement Management
- Oversee all purchasing operations for the school and church, ensuring efficient procurement processes and responsible stewardship of resources.
- Develop and maintain purchasing policies, procedures, and approval workflows.
- Review and approve purchase requests to ensure alignment with departmental budgets and organizational priorities.
- Negotiate pricing, contracts, and service agreements with vendors to secure favorable terms.
- Establish preferred vendor partnerships to maximize quality, reliability, and cost effectiveness.
- Maintain purchasing records and ensure proper documentation for all transactions.
Budget Stewardship
- Identify cost-saving opportunities and recommend improvements to procurement practices.
- Provide reporting and analysis on purchasing trends and expenditures as needed.
Vendor & Contract Management
- Cultivate strong relationships with vendors and service providers.
- Evaluate vendor performance to ensure quality, reliability, and value.
- Manage contract renewals, bidding processes, and vendor selection for major purchases.
- Ensure vendors meet organizational expectations and compliance requirements.
Inventory & Asset Oversight
- Implement systems for tracking inventory and major equipment purchases where applicable.
- Work with facilities, athletics, technology, and academic departments to manage supply needs.
- Support lifecycle planning for major equipment and operational assets.
Cross-Department Collaboration
- Serve as a resource and partner to faculty, staff, and ministry leaders regarding purchasing procedures.
- Provide guidance on procurement processes and purchasing best practices.
- Support special projects, events, and ministry initiatives requiring purchasing coordination.
Compliance & Process Improvement
- Ensure purchasing practices follow financial policies, internal controls, and audit standards.
- Evaluate purchasing systems and recommend improvements to increase efficiency and transparency.
- Support implementation or management of purchasing software or financial systems.
Education & Experience
- Bachelor’s degree in Business Administration, Finance, Supply Chain Management, or related field preferred.
- 5+ years of purchasing, procurement, operations, or financial management experience preferred.
- Experience in nonprofit, educational, or ministry environments preferred.
- Demonstrated experience negotiating contracts and managing vendor relationships.
Knowledge & Skills

- Ability to manage multiple priorities and deadlines.
- Proficiency with financial systems, purchasing software, and Microsoft Office or Google Workspace.
