Domestic Procurement Coordinator

 

Location: Newark, Delaware

Reports To: Order & Inside sales Supervisor, Product Manager, CEO, works alongside international purchasing coordinator, and logistic coordinator/warehouse manager. 

 

Job Summary:

The domestic procurement coordinator is responsible for overseeing and coordinating the procurement of lighting components, services, and finished goods from the U.S. -based vendors and the LCL freight service provider. This role ensures timely, cost-effective, and high-quality sources of materials while maintaining strong relationships with suppliers and internal stakeholders. This position manages purchasing activities, vendor communication, order tracking, and issue resolution. 

Job Duties:

Purchase Order Management

  • Create, track, and manage purchase orders with U.S. suppliers for components, service, raw materials, and finished lighting products.
  • Monitor and track open orders to ensure on-time delivery; proactively follow up with vendors on shipping status.
  • Ensure accuracy of order details including pricing, lead times, and delivery terms.
  • Follow up on open orders and proactively resolve delays or discrepancies.

Vendor Management

  • Build and maintain strong working relationships with domestic suppliers.
  • Coordinate with logistic team to build and maintain strong business relationships with the domestic LCL freight service provider 
  • Negotiate pricing, terms, and delivery schedules to ensure best value.
  • Monitor vendor performance and address issues related to quality, timeliness, or compliance and suggest improvements where needed.
  • Inventory Coordination
    1. Work closely with inventory and warehouse teams to align procurement with inventory levels and sales forecasts.
    2. Help prevent stockouts or overstock situations through timely replenishment planning.

 

  • Data & Systems Management
    1. Maintain accurate procurement records, supplier documentation, and dates in the company system.
    2. Run reports to support purchasing decisions and internal communication. Support audits and record-keeping for all procurement transactions.

 

  • Cross-Functional Collaboration
    1. Coordinate with product development, logistics, accounting, and sales teams to ensure alignment on product availability and timelines.
    2. Coordinate with finance and accounts payable on invoice approvals and vendor payments.

 

Qualifications

  • Bachelor’s degree in supply chain, business, or related field preferred.
  • 2+ years of experience in purchasing or procurement, preferably in the lighting, electronic or related manufacturing industry.
  • Knowledge of procurement practices and supply chain principles.
  • Strong negotiation, organizational, and communication skills.
  • Proficiency in procurement software and Microsoft Office Suite (especially Excel).
  • Ability to manage multiple priorities in a fast-paced environment.
  • Detail-oriented with a high degree of accuracy.

 

Preferred Skills

  • Experience with ERP systems such as NetSuite, Sales force, QuickBooks
  • Familiarity with lighting components, specifications, and industry standards.
  • Understanding with logistics and domestic freight coordination.

 

 


This is a hybrid in office and remote position. The in office hours are Monday-Friday 8am-4pm.

Remote work will be determined after start date.

Salary Information

$55000.0 - $65000.0 Annual Salary
