The Adirondack Experience (ADKX) in Blue Mountain Lake is one of upstate New York’s major cultural institutions and is nestled right in the heart of the Adirondacks. Offering four seasons of outdoor recreation, surrounded by serene landscape, and cozy small towns, the ADKX offers something for everyone who enjoys the serenity of the Adirondack Park. The ADKX is a seasonal museum open to the public from Memorial Day weekend through Indigenous People’s Day. We do host a year-round staff of 35 individuals that keep operations running during the winter months.


The ADKX is looking for a detail-oriented and organized Advancement & Executive Assistant to support the Museum's fundraising and executive leadership.  This position provides administrative and operational support to the Director Advancement, Senior Advisor, frontline fundraising staff, and the Executive Director in cultivating, soliciting, and stewarding leadership, major, and principal gift donors. 


Primary responsibilities of the position include:

  • Administrative support - scheduling department meetings, preparing agendas, recording and distributing minutes. 
  • Fundraising support - assisting with cultivation events as needed, including guest tracking and post-event follow-up.
  • Members cottage receptionist - representing the Advancement office with warmth and professionalism.
  • Gift administration - enter pledges, grants, and gifts into the Altu database. Produce timely, personalized acknowledgement letters. Provide support to Membership as needed.
  • Executive Director support - maintain Executive Director's calendar, trustee engagement, and external commitments. Schedule Senior Staff meetings; prepare agendas, record and distribute minutes as needed. 
  • Board of Trustees relations - support logistics for quarterly Board and committee meetings. Support Board member engagement activities and maintain and update the Trustee Handbook and governance materials.

Requirements:

1. Strong computer proficiency required; experience with Microsoft Word and Excel required; experience with Altru and mail merge preferred.

2. Demonstrated ability to accurately process cash, checks, credit cards, pledges, and complex gift types in a timely manner.

3. Strong administrative and organizational skills with exceptional attention to detail.

4. Ability to manage multiple projects simultaneously and meet deadlines in a fast-paced fundraising environment.

5. Flexibility to attend evening and weekend fundraising and Board events as required.

6. Excellent written and verbal communication skills, including the ability to compose professional donor and executive correspondence.

7. High level of interpersonal skills and discretion; ability to handle confidential information with tact, diplomacy, and professionalism.

8. Demonstrated ability to support relationship-based fundraising and executive engagement efforts.



Salary Information

$18.00 - $22.00 Hourly Wage
