About the role

  • Anza Mortgage Insurance Company is seeking a highly organized, proactive, and operationally disciplined Office Manager to support the administrative, facilities, and day-to-day operational needs of its three office locations. Based in Anza’s Wilmington headquarters, this role serves as the central point of coordination for office operations, facilities management, vendor support, and administrative services across the enterprise. The Office Manager plays a critical role in ensuring that Anza’s offices operate efficiently, professionally, and consistently, in alignment with the company’s culture, growth objectives, and governance expectations. This role requires strong judgment, high attention to detail, the ability to manage multiple priorities across locations, and the discipline to operate effectively in a fast-growing, regulated environment.

What you'll do

Office Operations & Administration

  • Serve as the primary administrator for all Anza office locations, ensuring consistent, high-quality office operations.
  • Manage day-to-day office needs, including supplies, equipment, mail, shipping, common areas, and shared resources.
  • Maintain organized, professional office environments that support productivity and employee experience.
  • Coordinate and maintain office policies and procedures related to workplace operations and administrative services.
  • Act as the central point of contact for office-related inquiries from employees and leadership.

 

Facilities & Vendor Management

  • Oversee relationships with office vendors, landlords, building management, and service providers (e.g., cleaning, maintenance, security, access control).
  • Coordinate facility maintenance, repairs, safety, and physical security matters across all locations.
  • Support vendor onboarding, contract tracking, invoice coordination, and issue resolution in partnership with Finance and Operations.
  • Assist with space planning, office moves, and expansion activities as Anza grows.

 

Multi-Office Coordination

  • Ensure consistency in office standards, processes, and employee experience across Wilmington, Winston-Salem, and McLean.
  • Provide remote coordination and support for non-Wilmington offices, including periodic onsite visits as needed.
  • Support leadership and teams with meeting logistics, conference room coordination, and visiting employee arrangements.

 

Executive, Team & Organizational Support

  • Provide administrative support to senior leaders as needed, including meeting coordination, travel logistics, and event planning.
  • Support onboarding logistics for new hires, including workspace setup, equipment coordination, access provisioning, and office orientation.
  • Assist with internal meetings, training sessions, and company events (onsite and offsite).
  • Oversee guest and visitor experience, ensuring a professional and welcoming environment.

 

Governance, Controls & Documentation

  • Maintain organized records related to office operations, leases, and administrative procedures.
  • Support compliance with internal control expectations related to office-related vendor usage, access management, and physical security.
  • Partner with HR, Risk, IT, and Operations to ensure office operations align with company policies, control standards, and governance frameworks.

Qualifications

  • Bachelor’s degree or equivalent professional experience preferred.
  • 5+ years of experience in office management, facilities management, or administrative operations, preferably in a corporate or regulated environment.
  • Demonstrated experience supporting multiple office locations or distributed teams.
  • Strong organizational, prioritization, and problem-solving skills.
  • High attention to detail with the ability to operate independently.
  • Professional communication skills and strong interpersonal judgment.
  • Proficiency with common office technology and collaboration tools (e.g., Microsoft Office, Slack, conferencing platforms).

Physical & Work Requirements

  • Primarily office-based role in Wilmington, NC.
  • Periodic travel to Winston-Salem, NC, and McLean, VA as needed.
  • Ability to sit for extended periods, use standard office equipment, and perform light lifting (up to approximately 20 lbs. on occasion).
