Position Summary:
The Patient Services Specialist is responsible for ensuring a seamless and positive experience for patients throughout their interaction with the clinic. This role includes managing appointments, verifying patient information, and serving as a liaison between patients and various departments while upholding the highest standards of service and compliance.

Key Responsibilities:
Scheduling & Appointment Management
- Schedule appointments for medical providers, labs, Mental Health, Bliss Cares, Care Management, and Bliss Wellness.
- Coordinate and schedule patient leads received through the website.
- Confirm upcoming appointments and follow up on missed or canceled visits.
- Access and collect $50 appointment no-show/cancellation fee.
- Reschedule and cancel appointments across all departments as needed.
- Proactively chart-check next-day appointments to resolve outstanding issues in advance.
- Reschedule provider schedules due to meetings, training, or vacation time.
- Ensure patient compliance with clinic guidelines, including mental health and care management appointments, HIV/Prep follow-ups, and required labs.
Patient Interaction & Office Flow
- Check in and check out patients efficiently and courteously.
- Ensure smooth patient flow throughout the clinic.
- Address and resolve patient questions or concerns before departure.
- Serve as a liaison between patients and departments to facilitate communication.
Administrative & Data Entry
- Accurately enter new patient demographics and update existing records.
- Scan and upload patient identification, insurance cards, and proof of address.
- Clean up outdated "ticklers" in patient charts.
- Manage lunch schedules for Medical Representatives.
- Perform additional duties as assigned in an efficient and timely manner.
- Update leader daily of status of daily tasks.
Insurance & Billing
- Verify patient insurance and check eligibility.
- Communicate and collect applicable co-pays, co-insurance, and outstanding balances.
Phone & Communication Duties
- Answer all incoming calls by the second ring with appropriate greeting and professionalism.
- Make outgoing calls to move-up appointments for treatment or any appointments needed by the clinical team.
- Transfer calls appropriately announce the caller’s name and reason for the call before transferring, no blind transfers.
- Respond to Athena messages, and emails by the end of each business day.
Compliance
- Adhere to HIPAA and clinic confidentiality standards at all times.
Minimum Requirements
- High school diploma
- 2+ years’ experience in medical practice or similar setting
- eClinical Works (eCW) experience preferred
