As the company scales nationally and internationally, accurate lease administration, financial compliance, and disciplined data management are critical to supporting new site development and long-term operational success.

ROLE OVERVIEW

The Lease Administrator serves as the primary custodian of the company’s commercial lease portfolio, ensuring that lease data is accurate, complete, and compliant from site selection through park opening and ongoing operations. This role partners closely with Real Estate, Finance, Legal, Operations, and external brokers and landlords to maintain clean lease records, track critical milestones, and support ASC 842 lease accounting requirements.

KEY RESPONSIBILITIES

· Lease Abstraction & Database Management

o Review commercial lease agreements, amendments, exhibits, and related legal documents

o Track SNDA redline and manage Estappel version controls

o Abstract key lease terms including rent schedules, CAM provisions, escalation clauses, tenant improvement allowances, signage rights, and expiration dates

o Maintain accurate lease records within lease administration systems such as Leasecake and other internal tracking tools

o Ensure lease data remains current throughout the full lifecycle of each location and changes are clrealy communicated with key stakeholders

 

· Financial Administration & Reconciliations

o  Coordinate and approve rent, CAM, utility, and operating expense payments in partnership with Accounting

o Review and reconcile annual CAM and operating expense true-ups

o Identify billing discrepancies and work with landlords and property managers to resolve issues

o Support lease-related accruals, adjustments, and audit requests

o Produce accurate reports, site analysis and other analytics as requested

 

· Critical Date & Obligation Tracking

o Track key lease milestones including:

o Lease commencements and expirations

o Renewal and termination options

o Permitting, delivery conditions, and contingency deadlines

o Tenant improvement and landlord work obligations

o Maintain multiple trackers and dashboards to ensure no missed deadlines or financial penalties

 

· Compliance & Reporting (ASC 842)

o Support compliance with ASC 842 lease accounting standards by maintaining accurate lease data and documentation

o Assist Finance with lease schedules, audit support, and reporting requirements

o Ensure consistency between lease abstracts, accounting records, and executed agreements

o  

· Broker, Landlord & Legal Coordination

o Act as a liaison between internal teams, landlords, brokers, and legal counsel

o Extract lease language to support signage briefs, broker communications, and operational needs

o Respond to lease-related inquiries from Accounting, Operations, and leadership

o Support dispute resolution related to lease interpretation or billing issues

o Support operations with uitility transfers and locating

 

TECHNICAL SKILLS

· Strong proficiency in Microsoft Excel (e.g., tracking tools, formulas, conditional formatting).

· Comfortable with Google Workspace (Docs, Sheets, Drive).

· Experience with lease administration software such as Leasecake (preferred)

· Ability to work with financial and lease data to identify errors, trends, or discrepancies.

· Basic understanding of accounting processes related to invoicing, payments, and reconciliations.

· Familiarity with ASC 842 lease accounting concepts (preferred)

EDUCATION & EXPERIENCE 

· Bachelor’s degree in Real Estate, Business, Finance, or a related field (preferred)

· 3+ years of experience in lease administration, commercial real estate, property management, or legal support

· Experience supporting multi-site or rapidly growing portfolios strongly preferred

LOCATION & TIMEZONE

· Must be based in US (Any time zone)

· Remote role with periodic travel to corporate office in NYC

· $60,000-$90,000 depending on experience
