OVERVIEW

Westside Family Healthcare is a nonprofit organization that provides high quality primary medical care without regard to ability to pay. The Enrollment Program Coordinator advances Westside Family Healthcare’s (WFH) mission by supporting the overall coordination, quality, and performance of WFH’s Enrollment Services program. This role includes all core responsibilities of an Enrollment Specialist, educating patients about health coverage options and connecting individuals to financial assistance programs—while also taking on enhanced duties related to program oversight, workflow standardization, performance monitoring, and data-driven quality improvement.


The Enrollment Program Coordinator works closely with the Manager of Enrollment Services to support program operations, maintain accurate reporting, monitor compliance with federal and state requirements, assist in maintaining internal policies and workflows, and coordinate training initiatives for enrollment staff. This position contributes significantly to ensuring consistent, high-quality enrollment services across all WFH sites and community outreach activities.


Strong organizational skills, analytical ability, and excellent communication skills are essential.

CORE RESPONSIBILITIES 

  1. Provide assistance to WFH patients and consumers who need access to financial support for health care services including Medicaid, Health Care Connections (HCC), Screening for Life (SFL), and the Health Insurance Marketplace.
  2. Maintain strong knowledge of community resources, insurance affordability programs, and statewide initiatives to support patient and community needs.
  3. Educate individuals on program eligibility criteria, required documentation, and the application process for various financial assistance programs that help to make health care more affordable when eligible.
  4. Assist with the completion of applications and act as a liaison with program administrators to facilitate enrollment.
  5. Maintain all required certifications during the initial training period and maintain annually thereafter.
  6. Track key performance indicators, including enrollment volumes, documentation quality, productivity standards, and follow-up completion.
  7. Assist with preparing monthly, quarterly, and annual reports for internal review and external stakeholders.
  8. Support the Manager of Enrollment Services and the Associate Director of Enrollment Services in monitoring daily program operations to ensure consistency and efficiency across all sites.
  9. Monitor Enrollment Specialist caseloads, identify process barriers, and elevate areas needing additional support.
  10. Protect patient and consumer information to ensure that confidentiality is maintained in accordance with HIPAA and PII regulations.
  11. Travel to and participate in statewide outreach events as needed.
  12. Attend all required meetings and trainings.
Requirements:

MINIMUM OBJECTIVE QUALIFICATIONS

  1. High school diploma or GED
  2. Six months or more of experience using Microsoft Office software suite (Word, Excel, Outlook)
  3. Valid driver’s license, reliable transportation and ability to travel independently between work locations, including external outreach events
  4. Lift, carry, and transport up to 35 pounds of outreach materials (e.g., brochures, display equipment, supply bins) to and from event locations during setup and cleanup
  5. Willingness to work evenings and/or weekends as needed
  6. Willingness to deliver presentations at public events
  7. Willingness to submit to a criminal background check in accordance with state and federal requirements (past offenses appearing in background check results will not automatically exclude applicants from consideration; criminal history will be evaluated on a case-by-case basis)

PREFERRED OBJECTIVE QUALIFICATIONS

  1. Associate’s or Bachelor’s degree 
  2. Two or more years working in healthcare or community support programs 
  3. Case management experience 
  4. Two or more years of experience in program coordination
  5. Fluency in written and spoken English and Spanish or English and another language spoken by a majority of our patient population

The work environment is varied and includes primary healthcare clinical sites, administrative office locations and public settings. Travel is primarily local during the workday but will extend into evenings and/or weekends as needed. This is a full-time position (40 hours per week). Hours of work are varied and may include morning, afternoon, evening and weekend hours. This position has no supervisory responsibilities. The FLSA classification of this position is non-exempt.
