Job Title: Front Desk Receptionist

Job Summary: We are looking for a friendly and professional Front Desk Receptionist to be the first point of contact for our company. The ideal candidate will have excellent communication skills, a warm demeanor, and the ability to manage multiple tasks efficiently. This role is key to creating a positive first impression for clients, visitors, and staff.

Key Responsibilities:

  • Greet and welcome guests, clients, and visitors in a courteous and professional manner.

  • Answer and direct phone calls promptly and efficiently.

  • Manage the reception area to ensure a tidy and welcoming environment.

  • Handle incoming and outgoing mail, packages, and deliveries.

  • Schedule appointments and maintain calendars for staff as needed.

  • Provide general administrative support, including data entry, filing, and document preparation.

  • Assist with office management tasks, such as ordering supplies and coordinating maintenance.

  • Maintain security by following procedures, monitoring logbooks, and issuing visitor badges.

  • Respond to inquiries and provide accurate information about the company’s services.

Qualifications:

  • High school diploma or equivalent; additional certification in office administration is a plus.

  • Proven experience as a receptionist, front desk representative, or similar role.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Strong verbal and written communication skills.

  • Excellent organizational and multitasking abilities.

  • Professional appearance and demeanor.

  • Ability to handle sensitive information with discretion.

  • Strong customer service and problem-solving skills.

Preferred Skills:

  • Experience with office equipment (e.g., fax machines, printers, phone systems).

  • Familiarity with scheduling and office management software.

  • Bilingual abilities are a plus.
