The Events Assistant is a member of the Wellness Department and supports the Event Planner in the promotion, facilitation, and evaluation of events and programs held both within the Community and off campus for independent residents.


This position helps ensure the social, cultural, and intellectual components of the Community’s Culture of Wellness are available to residents, recognizing the impact these offerings have on quality of life. The Event Assistant assists with holiday parties, resident-initiated events, outings, clubs, and large-scale community events, and may oversee evening and weekend programming as required.



Essential Duties and Responsibilities

  

Event Planning & Program Support

  • Support the Event Planner in programming, promoting, facilitating, and evaluating events, holiday parties, and large-scale community events.
  • Coordinate room setup, decorations, food service support, vendor and entertainer greeting, and event logistics.
  • Oversee evening and weekend events and outings, including transportation coordination and securing necessary resources.
  • Accompany residents on off-campus outings as required.
  • Assist in arranging and reserving transportation (resident buses) and organizing ticketing for cultural and community events.
  • Assist in the development and distribution of the monthly event calendar, information booklet, Uniguest updates, and other event communications.
  • Oversee contracted instructors, vendors, entertainers, and other service providers while on site.

Resident Engagement & Relationship Building

  • Cultivate an environment that encourages resident participation in diverse programming that enhances overall wellbeing.
  • Build rapport and maintain positive relationships with residents and staff.
  • Attend resident committee meetings and staff meetings as appropriate.
  • Deliver an exceptional resident customer service experience through event offerings.
  • Track and survey resident satisfaction to evaluate and continuously improve programming.

Community & External Partnerships

  • Develop and maintain strong working relationships with colleges, cultural organizations, museums, restaurants, group sales coordinators, and other community partners to support event programming.

Professional Responsibilities

  • Maintain resident confidentiality and privacy in accordance with BHS policies and procedures.
  • Demonstrate courteous, cooperative behavior with residents, families, coworkers, supervisors, and other departments.
  • Maintain professional appearance and demeanor consistent with Providence Point standards.
  • Follow organizational policies and procedures and seek clarification when needed.
  • Adhere to attendance and safety policies.
  • Demonstrate initiative, independence, adaptability, and the ability to manage multiple priorities in a fast-paced environment.
  • Perform other duties as assigned.
  • Attend required departmental and organizational meetings. 


 Work Schedule: 

  • Part-Time, 16-20 hours per week
  • 1-2 weeknights & 1 weekend/ day or evening, depending on event schedule 
Requirements:

Qualifications

Education & Experience

  • Previous experience in event planning, activities, hospitality, hotel, restaurant, or CCRC setting preferred.

Skills & Competencies

  • Highly detail-oriented with strong organizational skills.
  • Ability to multitask and adapt to changing priorities.
  • Strong interpersonal and communication skills.
  • Comfortable working with diverse populations.
  • Computer proficient; able to effectively utilize communication platforms and event      systems.
  • Willingness to work evenings and/or weekends.
  • Demonstrates a strong customer service orientation.
