Job Summary: The Payroll and Accounting Specialist will be responsible for managing payroll processing, ensuring accurate financial records, and assisting with general accounting duties. This individual will play a key role in maintaining the financial health of the company by ensuring timely and accurate payroll processing, compliance with applicable tax regulations, and maintaining financial records. The ideal candidate will have a strong attention to detail, excellent organizational skills, and a background in payroll and basic accounting.


Your schedule would be 9:00 am-5:00 pm Monday through Friday for a total of 40 hours per week. Please do not apply if this does not work with your availability.


Duties and Responsibilities:


Payroll Duties:

  • Implements, maintains, and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Facilitates audits by providing records and documentation to auditors.
  • Identifies and recommends updates to payroll accounting software, systems, and procedures.

Accounting Duties:

  • Performs general cost accounting and other related duties for the organization.
  • Prepares monthly balance sheets, income statements, and profit and loss statements.
  • Maintains the general ledger.
  • Codes invoices, sets up new accounts, reconciles accounts, and closes the monthly books.
  • Reconciles bank accounts at least monthly, verifies deposits, and addresses inquiries from banks.
  • Reconciles cash disbursement accounts, payroll, customer accounts, and other financial accounts; manages accounts receivable collections.
  • Verifies and/or completes payment of invoices associated with accounts payable and ensures payments are charged to the appropriate accounts.
  • Provides outside auditors with assistance; gathers necessary account information and documents to perform annual audit.
  • Coordinates with software vendor to maintain accounting software systems; recommends updates to enhance the accounting software.
  • Manages the purchasing and invoicing system.
  • Maintains knowledge of acceptable accounting practices and procedures.

Pay: This position is a W2, salaried (exempt) position. The pay is $57,000-$62,000 per year, depending on experience.

Requirements

Education and Experience:

  • Bachelor's degree in Accounting, Business Administration, or related field
  • 3-5 years of related experience preferred
  • CPA credentials are desirable

Required Qualifications:

  • Knowledge of payroll functions, including preparation, balancing, internal control, and payroll taxes
  • Knowledge of general financial accounting and cost accounting
  • Understanding of and the ability to adhere to generally accepted accounting principles
  • Excellent organizational skills and attention to detail
  • Strong analytical skills and problem-solving skills
  • Proficient with Microsoft Office Suite, QuickBooks, and related software
  • Ability to maintain confidentiality and handle sensitive information
