Summary:
The Projects Assistant supports the daily operations of projects within the Community Services Department, ensuring effective communication and project execution. This position plays a vital role in assisting with documentation, recordkeeping, and the successful administration of special projects and events.
Essential Duties & Responsibilities:
- Project Operations & Communication:
- Interact with clients, vendors, and visitors.
- Answer incoming calls and provide assistance as needed.
- Prepare responses to routine inquiries.
- Perform general clerical duties such as copying, faxing, and filing.
- Conduct research, compile data, and prepare documents for management.
- Create and modify documents (reports, memos, letters) using Microsoft Office and THO system.
- Documentation & Recordkeeping:
- Assist with processing and reporting requirements utilizing various programs.
- Ensure recordkeeping complies with state and federal regulations.
- Maintain confidentiality regarding client, staff, and agency information.
- Event Planning & Special Projects:
- Assist in planning and executing special events and training programs.
- Contribute to special projects that assist with the administration and operation of the program.
- Meetings & Training:
- Attend and participate in meetings, team meetings, workshops, and training conferences as assigned.
- Participate in local, state, regional, and national groups as needed.
- Compliance & Standards:
- Comply with MCCAA Policies and Procedures, Head Start Performance Standards, and applicable Early Childhood Standards, including DHS Licensing Standards, CACFP, TN Department of Health, and NAEYC Accreditation Standards.

- Perform other duties as assigned by the supervisor.
Education & Experience Qualifications:
- Education:
- High School Diploma required; Certification or AA preferred.
Preferred Qualifications:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
