Position Title: Legal Data Management Coordinator

Reports To: Legal Operations and Process Improvement Manager


The Data Management Coordinator plays a critical role in supporting the firm’s litigation practice by ensuring the accuracy, integrity, and organization of case and client data within the firm’s case management systems, primarily FileVine. This position is ideal for a technologically savvy legal professional with litigation experience who prefers working behind the scenes on data management, document systems, and administrative projects rather than substantive legal drafting.


This role requires a high level of attention to detail, consistency, and accountability. The successful candidate will be comfortable managing repetitive, meticulous tasks independently while handling ad hoc administrative and data-related projects as needed. The Data Management Coordinator ensures that the firm’s case data is accurate, compliant, and usable—supporting attorneys, paralegals, and leadership with reliable information and streamlined systems. This role is essential to the firm’s operational efficiency and success.


Responsibilities:

  • Open and set up new matters and client projects in FileVine and related systems
  • Manage all new client intake on the data/software side, including extracting key information from complaints and pleadings and accurately entering data into the system
  • Ensure required fields are completed and maintained in compliance with firm protocols
  • Update and manage team assignments within FileVine as cases evolve
  • Maintain data accuracy across all active and closed matters
  • Serve as a primary support resource for FileVine data management
  • Run reports, build custom reports, and troubleshoot data inconsistencies
  • Manage permissions, access levels, and workflows in and out of FileVine
  • Assist with document generation templates and system configurations (including template logic/coding, as applicable)
  • Support ongoing system improvements and data cleanup initiatives
  • Handle administrative and data-focused projects requiring precision and follow-through
  • Support firm-wide data audits, system updates, and process improvements
  • Additional responsibilities and projects as requested by Management
Requirements:

  

  • 1+ years of experience in a litigation legal assistant or similar role
  • Strong interest in data management, document production, and legal technology, rather than paralegal-level legal drafting
  • High level of technological proficiency and comfort working in case management systems
  • Exceptional attention to detail and accuracy
  • Ability to work independently and manage tasks without constant follow-up
  • Strong organizational skills and ability to manage tedious, repetitive work consistently
  • Prior experience with FileVine (strongly preferred) or other similar document management system. 
  • Experience running reports, managing permissions, or working with document generation tools
  • Familiarity with litigation workflows and court filings
  • Detail-oriented and process-driven
  • Reliable, accountable, and deadline-conscious
  • Comfortable with repetitive and highly structured work
  • Analytical mindset with strong problem-solving skills
  • Able to interpret legal documents (e.g., complaints) for data extraction purposes

The firm’s expected salary range for this position is $55,000 - $70,000. Actual salary will be determined based on education, experience, internal equity and other job-related factors, consistent with applicable law.
