About this position
An Administrative Assistant I provides essential administrative and operational support to our Third-Party Administrator (TPA) specializing in qualified retirement plan administration. This role is responsible for assisting our team of plan administrators, consultants, and compliance staff with day-to-day activities related to plan administration, client service, and regulatory support. This position plays a critical role in supporting timely and accurate administration of retirement plans while providing a high level of service to internal team members and external clients. The ideal candidate is detail-oriented, organized, dependable, and comfortable working in a professional services environment that requires accuracy, confidentiality, and adherence to deadlines.
JOB FUNCTIONS:
• Prepare various forms to send to plan participants and track them to ensure receipt
• Prepare IRS Forms (1099-R, 1096, 945, Form 5500) using data provided by staff
• Draft correspondence and prepare statements to be distributed to clients
• Prepare and process plan document packages to be sent to clients
• Handle client inquiries regarding distribution of funds efficiently and professionally
• Assist Director in preparation of billing and invoicing of client matters
• Track, scan, and maintain documents received from clients and multiple vendors
MINIMUM REQUIREMENTS
• Ability to work independently as well as in a team environment is a must.
• High degree of attention to detail and organization.
• Strong ability to read and interpret written word and understand verbal instructions as related to any duties assigned.
• Strong verbal and written communication skills. Professional phone skills speaking with clients and their employees
• Ability to prioritize and handle multiple tasks simultaneously.
• Understanding and previous use of a Windows-based computer system and applications such as Microsoft Word, Excel, and Outlook.
• Completion of a high school diploma or equivalent. Additional course work in math is preferred.
• Ability to type 60-70 WPM minimum and possess solid proofreading skills.
• Prior clerical or administrative experience in a professional setting is preferred.
• Familiarity with retirement plans, financial services, or regulated environments is helpful, but training is typically provided for candidates who demonstrate strong administrative skills, professionalism, and a willingness to learn.
• An individual might also have to lift 5 – 10 pounds occasionally.
