STATEMENT OF THE JOB
The Development Associate provides essential administrative, organizational, and data-quality support to the Fund Development & Grant Manager. This role ensures smooth execution of donor mailings (electronic and physical), grant administration support, quality tracking, and documentation management. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple timelines and priorities across fundraising and grant-related activities.
ESSENTIAL FUNCTIONS
· Prepare and assemble donor mailings, including printing, envelope stuffing, labeling, postage, and tracking.
· Maintain accurate donor records in DonorPerfect, including notes, segmentation lists, and timely data entry.
· Support monthly, quarterly, and annual campaigns as outlined in the Fund Development Plan.
· Generate donor acknowledgment letters; prepare printed or emailed thank-you letters within one week of donation.
· Help prepare materials for stewardship efforts such as mid-year updates, impact summaries, and VIP donor communications.
· Review and edit draft grant narratives for grammar, clarity, formatting consistency, and adherence to funder requirements.
· Assist in internal and external grant reporting.
· Support internal grants calendar by reminding staff of deadlines and gathering required materials.
· Perform general administrative duties and assist with special projects as assigned to support departmental and organizational needs.
Requirements
QUALIFICATIONS AND EXPERIENCE:
· Experience in nonprofit organizations, fundraising, marketing, or donor relations.
· Experience with CRM/donor management software. Knowledge of DonorPerfect is a plus.
· Familiarity with grant management or reporting processes.
· High school diploma or equivalent preferred.

PHYSICAL REQUIREMENTS
· This is largely a sedentary role, and requires the ability to regularly sit, bend, stand, talk, hear and use hands and fingers to operate a computer and telephone. Events require the ability to walk and stand for long periods of time, as well as the ability to lift up to 40 pounds.
