Lifted Trucks is looking for a highly organized, self-motivated, and dependable Executive Assistant. This key role will provide extensive administrative and operational support, primarily to our two Co-Presidents, with additional support for other members of the senior leadership team as needed. The ideal candidate will be a proactive problem-solver with a proven track record of success in a fast-paced environment, possessing the high level of professionalism and discretion necessary to manage sensitive information and complex schedules. This role requires meticulous attention to detail, advanced technical proficiency, and the ability to anticipate needs and manage competing priorities effectively.


Key Responsibilities:


Administrative and Operational Support

  • Manage complex and ever-changing calendars for two executives, including scheduling meetings, coordinating logistics across multiple time zones, and ensuring all necessary materials are prepared in advance.
  • Arrange detailed travel itineraries, including flights, accommodations, ground transportation, and necessary documentation.
  • Prepare and process expense reports, ensuring accuracy and adherence to company policies.
  • Serve as the primary point of contact for internal and external stakeholders, fielding and prioritizing communication (phone, email, correspondence) on behalf of the Co-Presidents.
  • Draft, proofread, and edit professional correspondence, presentations, and documents, ensuring high-quality and consistent branding/tone.

Data Management and Reporting

  • Create, update, and maintain complex spreadsheets and databases using advanced features in Microsoft Excel and Google Sheets (e.g., pivot tables, VLOOKUPs, data visualization) for tracking operational metrics.
  • Compile, analyze, and summarize data for regular reports and executive dashboards.
  • Organize and maintain a highly efficient digital and physical filing system for confidential documents.

Project and Event Coordination

  • Coordinate and manage special projects as assigned, often involving multiple departments and external partners.
  • Plan, organize, and execute in-person and virtual company meetings, offsite gatherings, and corporate events from conception through execution, including vendor negotiation, budget management, and logistics coordination.
  • Prepare meeting agendas, take comprehensive minutes, and track follow-up action items to ensure timely completion.

Office and Executive Support

  • Maintain professionalism and strict confidentiality with all materials, information, and communication.
  • Handle personal and professional errands or tasks for the Co-Presidents as required, maintaining flexibility and discretion.

Qualifications:

  • Minimum of 5 years of experience as an Executive Assistant reporting directly to C-suite executives highly preferred (President, CEO, COO, etc.).
  • Proven track record of success in managing complex schedules and high-volume, dynamic environments.
  • Demonstrated expertise in creating and managing complex data in spreadsheet software (Microsoft Excel, Google Sheets), including advanced functions.

  • Exceptional Organizational Skills: Ability to prioritize tasks, manage time effectively, and handle multiple deadlines simultaneously.
  • Strong Communication: Excellent verbal and written communication skills with the ability to communicate professionally and clearly with all levels of the organization and external partners.
  • Discretion and Professionalism: Utmost integrity and ability to handle sensitive and confidential information with discretion.
  • Proactive and Resourceful: A self-starter who anticipates needs, solves problems before they arise, and takes initiative without being asked.
  • Technical Proficiency: Advanced level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Calendar). Familiarity with project management software is a plus, such as Trello, TeamGantt, etc.
