JOB SUMMARY: The Medical Assistant Supervisor supports the delivery of excellent, patient-centered medical care in a Patient-Centered Medical Home model. This role oversees daily clinical operations for the Medical Assistant team, evaluates quality and performance, ensures compliance with organizational and regulatory standards, and promotes a team-based care environment. The Supervisor also performs Medical Assistant duties as needed to maintain smooth clinic operations and continuity of care. This position is essential in fostering a culture focused on patient needs, clinical excellence, and continuous quality improvement.
DUTIES AND RESPONSIBILITIES:
Administrative Duties:
- Maintains a safe, secure, and healthy work environment by establishing and following standards and procedures; comply with legal regulations
- Updates job knowledge by participating in educational opportunities; reading professional publications.
- Attends and actively participates in staff meetings and participates in committee meetings as requested.
- Maintains respectful, courteous, and appropriate communication and interpersonal skills with all staff members, volunteers, and patients.
- Supports patient care activities by managing time effectively, utilizing resources appropriately, and exemplifying excellence in attention to detail
- Travel between clinic sites.
- Perform all Medical Assistant duties as needed to ensure adequate coverage and continuity of patient care.
Supervisory Duties:
- Participate in hiring, onboarding, and training Medical Assistant staff.
- Creates, manages, and updates staff schedules; ensures appropriate coverage and rotates shifts to maintain supervisory presence.
- Reviews and approves PTO requests and employee timecards.
- Provides ongoing coaching and conducts performance evaluations (monthly, quarterly, and annual).
- Addresses performance concerns, completes and documents disciplinary actions when necessary.
- Oversee daily workflow to ensure efficient, high-quality patient care; steps in to provide MA coverage as needed.
- Evaluates departmental key performance indicators (KPIs) to monitor quality, staff performance, and operational effectiveness.
- Ensures staff compliance with organizational policies, department procedures, clinical protocols, and regulatory requirements (including HRSA requirements).
- Ensures all MA and lab staff maintain required certifications and licenses, monitoring expiration dates and supporting timely renewal.
- Conducts chart audits to ensure accuracy, completeness, and compliance.
- Reviews and submits incident reports and follows up with staff when needed.
- Oversee ordering and maintaining medical supplies in coordination with Purchasing.
- Provides routine trainings on clinical competencies, workflow best practices, and updated standards of care.

- Uphold Complies with HIPAA and protects patient information.
- The Medical Assistant Supervisor ensures compliance with all 19 Health Resources and Services Administration (HRSA) Health Center Program Requirements.
- The Medical Assistant Supervisor is also expected to actively participate in and support quality improvement activities and the clinical practice team efforts emphasize the importance of the individual patient and putting the patient’s needs first.
Qualifications:
- Fluency in Spanish - required
- Basic Life Support (BLS) Certification - required
- Office Laboratory Assistant Certification within 30 days of hire - required
- Phlebotomy experience - preferred.
- At least (two years Medical Assistant experience in an outpatient clinic setting primary care experience - preferred
Education Required:
- High School Diploma or equivalent - required.
- Successful completion of a Medical Assistant program from an accredited program or school - required
- National Medical Assistant Certification (RMA, CCMA, etc.) - preferred

TYPICAL PHYSICAL DEMANDS:
Occasional standing, walking, lifting, reaching, kneeling, bending, stooping, pushing, pulling and lifting and/or moving up to 25 pounds. Frequent sitting. Manual dexterity. Good reading eyesight and vision for close work. Ability to communicate by speaking and hearing in person or on the phone. Ability to travel to various locations.
