This position is responsible for day-to-day operations of the department, this position performs the following:
Produces and manages staffing schedules, holding staff accountable for schedule adherence.
Monitor and manage the call queues on a continuous basis during their shift.
Uses data generated daily by telephone software to analyze and assess call trending. Supervisors are required to recognize the changing needs of the customer and work with the manager to update or add processes to meet the needs.
Ensures excellent customer service and phone etiquette is established for surgery schedulers.
Monitors and measures total number of cases scheduled by each scheduler to ensure proficiency and accountability.
Monitors block time and reports to manager when low utilization is identified.
Monitors cases scheduled for accuracy, educates team members when mistakes are made.
Edits and makes changes to the electronic schedule as determined by the Surgical Services Operations Group.
Continually monitors the Daily Master Schedule to identify trends and needs involving equipment, staffing, surgeon preference, and availability of operating rooms.
Develops training material and standard work to maximize employee productivity and increase employee satisfaction.
Assist in implementation of new processes and provides feedback to leadership in newly established protocols.
Plans, directs, and manages the business operations including staff adherence to policies, procedures and standards of conduct.
Hires, evaluates, disciplines, and terminates employees under direct supervision.
Performs one on one meetings with staff to develop and maintain good working relationships.
Works with the quality assurance team to administer scheduler productivity on a monthly basis. Will provide action plans and training to ensure schedulers are successful in achieving the highest possible quality.
Assisting managers/director in developing new block lines.
Assists manager/director in planning and managing implementations of new equipment and software needs within the established EMR based on surgeon needs.
Is aware of financial and service goals and manages resources accordingly. .
Must have working knowledge of applicable programs including, but not limited to: EPIC, Business Objects, Calabrio, and Microsoft Office.
Supervises and/or prepares reports, documents, payroll records, statistical surveys and other data required for departmental administration and for compliance with various licensing and regulatory agencies.
Maintains relationships with key stakeholders in Renown & non-Renown office/department managers, to assure the services being rendered are meeting their needs on a daily basis.
Is involved in short- and long-range department planning.
This position is responsible for ongoing process improvement for physician, employee and patient satisfaction.
This position requires daily contact with community surgery offices, anesthesia, and other department heads as well as consistent meetings with Administration and department staff for proper communication.
Surgical Services is experiencing considerable change requiring the incumbent to keep abreast of the state-of-the-art in technology and procedures. As a supervisor, the incumbent must have the capacity to effectively problem-solve, make appropriate decisions, and produce desired results. In addition, he/she must effectively interface with the Surgeons, their offices, and other department leaders.
