About this position

The Commercial Coordination Specialist will play a critical role in supporting the execution and efficiency of commercial operations for a growing medical diagnostics company. This position is responsible for coordinating key commercial activities including trade show management, customer business review scheduling, national sales meeting planning, and interdepartmental communication while providing high-level administrative and project coordination support to our commercial leadership team. The ideal candidate will bring substantial experience from corporate America, thriving in a matrixed environment, and will consistently demonstrate exceptional communication, organizational, and collaboration skills.


Key Responsibilities

    Coordinate national/regional trade shows and customer events, including vendors, logistics, timelines, and budgets.

    Plan and support national sales meetings and offsite sessions, ensuring seamless execution and follow up.

    Manage scheduling, materials, and deadlines for customer business reviews (CBRs) and executive updates.

    Provide calendar, travel, expense, and reporting support to senior commercial leaders.

    Serve as a liaison across Sales, Marketing, Medical Affairs, Operations, Compliance, and Finance.

    Lead or support cross functional projects and technology related initiatives (CRM, dashboards, automation).

    Assist with onboarding and commercial training logistics; maintain LMS content.

    Support audit readiness, documentation accuracy, and compliance with internal policies.

    Oversee MLR workflows for marketing materials, including routing, version control, and metrics tracking.

    Generate reports and identify opportunities to streamline commercial processes.


Qualifications

    Bachelor’s degree in business administration, Communications, Marketing, or related field preferred.

    5–8+ years of professional experience in a corporate, matrixed environment with exposure to cross-functional project coordination and executive-level support.

    Proven success in coordinating large-scale meetings, trade shows, or corporate events.

    Exceptional written and verbal communication skills, including proficiency in drafting communications, reports, and presentations.

    Strong organizational and time-management skills with keen attention to detail and ability to manage multiple priorities simultaneously.

    Professional presence, discretion, and ability to work with senior executives, customers, and external partners.

    Proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook), Teams/Zoom, and project tracking systems; Salesforce or CRM experience is an advantage.
