Customer Service Associate
Tintometer, Inc., based in Sarasota, FL, seeks a Bi-lingual Customer Service Associate to become part of the Lovibond team and help us in our commitment to putting customers first by providing excellent service and great product experiences.
Reporting to the Vice President of Operations and Supply Chain, the Customer Service Associate is responsible for ensuring that customer's orders are fulfilled in a timely and satisfactorily manner. This position supports sales efforts by providing a variety of services, solutions, and support to existing customers. This includes but is not limited to processing orders, shipping, sending/receiving invoices, purchase orders, and collecting outstanding accounts receivable payments. The ideal candidate will have experience in customer service and order processing and demonstrate a high level of order processing accuracy.
Responsibilities:
- Communicate with customers via email, video calls, and telephone, to successfully maintain and improve the customer experience.
- Review incoming customer purchase orders for completeness and accuracy
- Research and resolve order errors for further processing
- Enter sales orders into the ERP system.
- Respond to inquiries regarding pricing and product availability.
- Complete all sales orders according to company policies
- Generate pick tickets for the warehouse.
- Prepare other order-related documentation
- Generate and send order acknowledgements indicating expected ship dates, pricing, anticipated delays, payment terms and quantities
- Work with production, sales, warehouse, or delivery personnel to trace or accelerate shipments.
- Complete customer follow-up communication to ensure order and service expectations have been met.
- Maintain customer information and enter leads and new contacts into CRM software.
- Backup other customer service personnel as required
- Communicate other opportunities to internal customers.
- Recommend merchandise or services that will meet or improve upon customers' needs.
- Handle a variety of sensitive and confidential information.
- Maintain a safe work environment by following standards and procedures
- Perform other related duties as assigned
Experience, Skills, and Knowledge:
- High School diploma or GED.
- Bilingual in Spanish is required.
- Excellent communications skills, both written and verbal.
- Prior experience entering data into a database or computer software.
- Experience with daily office tasks, such as answering phones, sending faxes, or filing documents
- Knowledge of ERP software preferred (Traverse)
- Possess a high level of organization, reliability, and attention to detail.
- Adept at maintaining a professional manner in all customer interactions both internal and external
- Self-starter with the ability to work under pressure to meet deadlines
- Quick learner who is able to work independently. must be accurate and repeatable
- Proficient in Microsoft Office Suite or related software
- Demonstrated ability to work in a team environment comfortably and effectively
