We’re looking for an outgoing, detail-oriented Customer Service Coordinator to join our team at our Hadley, MA headquarters. This role serves as the main point of contact for our Dental Division customers—and will also support our medical and academic team ensuring every service visit, preventive maintenance, and customer interaction runs smoothly. The ideal candidate thrives in a fast-paced team environment, loves working directly with customers, and demonstrates strong organizational and follow-up skills.

Key Responsibilities

  • Act as the primary contact for dental customers regarding service requests, scheduling, and follow-up communication.
  • Coordinate the dispatch of field technicians to ensure daily work schedules exceed customer expectations for the dental service team.
  • Process service orders, quotes, and billing for dental, our medical, and manufacturer service division in a timely and accurate manner.
  • Track service jobs from initiation to completion, ensuring customers are kept updated and satisfied throughout the process. Phone follow-up on service calls is a priority with this role. 
  • Run reports to support internal coordination, tracking, and performance metrics across multiple divisions
  • Handle customer inquiries and resolve issues with professionalism and a solutions-oriented attitude.

Qualifications

  • 2+ years of experience in customer service, administrative coordination, or billing (service industry experience a plus).
  • Excellent organizational skills and consistent attention to detail.
  • Strong written and verbal communication abilities.
  • Proficiency with Microsoft Office and service management software.
  • Ability to balance multiple tasks while maintaining accuracy and follow-through.
  • Positive, proactive, and customer-focused attitude.
