Service Dispatcher


Location: Waxahachie, TX
Schedule: Monday–Friday, 8:00 AM – 4:30 PM (30-minute lunch)
Pay: $16–$18/hour (DOE)
Reports To: Service Coordinator


Position Summary


RLP Mechanical is seeking a reliable and organized Service Dispatcher to support our growing service department. This role is responsible for managing incoming customer service requests, scheduling and dispatching field technicians, and ensuring service calls are accurately documented and processed. The Service Dispatcher plays a critical role in keeping daily operations running smoothly while delivering excellent customer service.


Primary Responsibilities

Customer Communication & Call Management

  • Answer incoming customer calls in a professional and timely manner
     
  • Create service calls in the system and schedule appointments directly with customers
     
  • Provide customers with updates regarding scheduled work
     
  • Send notifications 48–72 hours prior to preventive maintenance (PM) visits
     

Scheduling & Dispatching

  • Schedule and dispatch service technicians based on availability, skill sets, and customer needs
     
  • Maintain and update the technicians’ job board throughout the day
     
  • Input new preventive maintenance agreements into the system
     
  • Track and manage the PM schedule to ensure timely completion
     

Service Call Administration

  • Create new customer profiles in the system as needed
     
  • Ensure service calls are completed correctly with accurate technician time and materials recorded
     
  • Verify that all required sales orders are completed by technicians; return incomplete orders for correction
     
  • Review completed service calls for accuracy and completeness
     

Workflow & Department Support

  • Forward verified and finalized service calls to the Service Coordinator for further processing
     
  • Assist in maintaining organized, consistent, and efficient service department operations
     
  • Support the service team with administrative tasks as needed

  • Ability to multitask and prioritize in a fast-paced environment
     
  • Comfortable working with scheduling software and service management systems
     
  • Previous dispatch, customer service, or administrative experience preferred (HVAC or trades experience a plus, but not required)
     
  • Dependable, professional, and team-oriented
