JOB SUMMARY:

The Cold Storage Inventory Control Coordinator is responsible for managing and maintaining accurate inventory levels within freezer and cooler areas in a food manufacturing facility. This role plays a critical role in supporting production, shipping, and inventory flow by safely handling, organizing, and transporting finished, Raw, and WIP (Work In Process) goods and materials within the freezer and warehouse environments. This position is responsible for operating forklifts, staging and securing palletized product, maintaining accurate documentation, and ensuring physical inventory aligns with ERP system records. The Coordinator investigates and resolves discrepancies, supports production planning, and maintains an organized, clean, and food-safe cold storage environment. The position also requires certified forklift operation.  

 

Essential Duties and Responsibilities

Material Handling & Freezer Operations

  • Load, unload, receive, and stage finished goods, raw materials, and supplies into designated freezer storage locations
  • Operate forklifts, pallet jacks, and other material-handling equipment in a safe and controlled manner
  • Transport product between production, freezer, and shipping areas according to daily schedules
  • Ensure proper product placement, rotation, and organization within freezer locations
  • Maintain freezer and cooler areas in a clean, organized, and audit-ready condition.
  • Ensure storage areas are free of debris and comply with food safety and GMP standards.
  • Optimize space utilization to accommodate incoming product.

Inventory Control & Accuracy

  • Verify product identification, lot codes, quantities, and pallet counts during movement and storage
  • Communicate discrepancies, shortages, or damaged product to supervision immediately
  • Assist with cycle counts, audits, and inventory reconciliations as required
  • Verify that physical inventory matches ERP system balances.
  • Perform recounts and investigate discrepancies to determine root causes.
  • Process positive and negative inventory adjustments in the ERP system as instructed by Warehouse Supervisor.
  • Monitor product rotation (FIFO/FEFO) and identify items approaching expiration.
  • Maintain accurate inventory spreadsheets and documentation.

Production & Shipping Support

  • Prioritize urgent or time-sensitive product movements to avoid production delays
  • Assist with packaging, rework, or special handling needs as assigned
  • Coordinate with production scheduling to ensure required raw materials are available for upcoming runs.
  • Conduct routing checks to confirm materials are staged and available for production lines.
  • Stage, secure, and prepare palletized product for shipment or internal movement.
  • Communicate shortages or risks proactively to minimize downtime.
  • Support shipping and warehouse teams to ensure smooth inventory flow.

Safety, Quality & Compliance

  • Follow all OSHA, GMP, Food Safety, Allergen Control, and Plant Safety policies
  • Conduct pre-shift inspections of forklifts and equipment; report mechanical issues promptly
  • Maintain compliance with food safety standards while handling product in freezer and cooler environments
  • Immediately report food safety, quality, or sanitation concerns to supervisors or Quality personnel
  • Maintain cleanliness and organization of freezer and warehouse areas
  • Follow all food safety, HACCP, and company quality policies.

Equipment & Documentation

  • Inspect forklifts and material-handling equipment before and during shifts
  • Notify leadership of equipment maintenance needs or unsafe conditions
  • Accurately complete required paperwork, logs, and reports for each shift
  • Adhere to all Urban Farmer policies and procedures related to equipment use

Additional Responsibilities

  • Support continuous improvement efforts related to freezer organization and workflow efficiency
  • Cross-train in other warehouse functions as needed
  • Perform other duties as assigned by management to support operational goals

 

Qualification Requirements

  • High school diploma or GED required; additional education or certifications in logistics, supply chain, or operations preferred.
  • 2+ years of experience in warehouse operations, inventory coordination, and material handling, preferably in a food manufacturing or regulated environment.
  • Working knowledge of ERP or WMS systems, including inventory transactions, scanning, and material movements.
  • Understanding of FIFO, lot control, expiration dating, and basic traceability requirements.
  • Familiarity with GMP, Food Safety, and OSHA standards.
  • Strong organizational skills with high attention to detail and accuracy.
  • Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
  • Basic to intermediate Excel and reporting skills.
  • Effective communication skills and the ability to work cross-functionally with Warehouse, Inventory, and Production teams.
  • Forklift / PIT experience required
  • Basic computer proficiency, including handheld scanners and Microsoft Office (Excel, Outlook).

 

Physical Demands

  • Regularly required to stand and walk for extended periods throughout the shift.
  • Frequently required to bend, stoop, kneel, reach, push, and pull while performing inventory checks and material handling.
  • Must be able to lift, carry, and move up to 50 pounds with or without reasonable accommodation.
  • May be required to operate forklifts, pallet jacks, and other material-handling equipment as needed.
  • Ability to climb ladders or stairs to access stored materials.
  • Visual acuity required to read labels, lot codes, expiration dates, and system screens accurately.
  • Manual dexterity required for scanning, labeling, and operating handheld devices and computer systems.
  • Must be able to work in cold, hot, or variable temperature environments, including freezer and refrigerated storage areas.
  • Required to wear appropriate personal protective equipment (PPE), including but not limited to safety shoes, gloves, hairnets, and hearing protection.
  • Ability to work in cold storage environments for extended periods.

 

 

Work Environment

This position works in both office and manufacturing/warehouse environments with variable temperatures, loud noise from machinery, equipment alarms, and frequent interaction with carriers and drivers.
