The Order Management Specialist is responsible for order review, entry, and tracking to ensure awarded work is accurately reflected in the ERP/MRP system and delivered to the customer as contracted.

As part of the Pricing & Proposal team this role may also support the development, analysis, and submission of cost and price proposals for Innovative Aerosystems since those proposals will drive the order entry requirements.

All proposals and orders are tied to aviation products and engineering services in both commercial and defense/government markets. 

This role collaborates with sales, engineering, supply chain, finance, program management and contracts for compliant, competitive solutions aligned with customer requirements and internal strategy. 

This role requires a combination of precise technical skills in data and systems management, coupled with strong soft skills.

Key Responsibilities

Order Review & ERP/MRP Management

· Review incoming customer orders to confirm alignment with approved pricing, scope, deliverables, and proposal terms.

· Flag and resolve discrepancies in pricing, lead times, deliverables, or terms prior to order acceptance.

· Coordinate with Contracts to clarify or modify orders as needed.

· Enter, release, and maintain awarded orders in the ERP/MRP system (e.g., NetSuite)

· Validate pricing, part numbers, quantities, lead times, schedules, and billing requirements during order entry.

· Monitor order status to support production planning, delivery schedules, and backlog reporting.

Internal Approvals & Workflow Management

· Process internal approval packages for quotes and proposals, ensuring consistent cost structure and target margins.

· Coordinate and route pricing approvals with Finance, Contracts, Program Management, and Executive Management as required.

Proposal & Pricing Support

· Support the development of pricing and cost estimates for proposals, quotations, and customer requests (RFQs/RFPs/RFIs) as required.

· Coordinate with Supply Chain to obtain, validate, and integrate supplier/subcontractor quotes when Standard Costs are not available.

· Assist in cost buildup for hardware, tooling, engineering services, testing, and customer service.

Compliance & Pricing

· Ensure accuracy and compliance with company policy, customer instructions, and regulatory requirements.

· Participate in pricing audits, fact-finding, negotiations support, and internal pricing reviews as needed.

Desired Skills & Experience

· Attention to Detail & Accuracy: Given the stringent safety and regulatory requirements of the aviation industry, ensuring every order detail, part number, and specification is 100% correct is paramount. This minimizes costly errors, delays, and compliance issues.

· Proficiency with ERP/Order Management Systems: Experience using Enterprise Resource Planning (ERP) systems (such as SAP, Oracle, or NetSuite) and specific order management software is essential for processing high volumes of orders efficiently and integrating with other functions like inventory and shipping.

· Industry Knowledge: While not mandatory, prior experience in the aviation, aerospace, or manufacturing industry is a significant asset. Familiarity with aviation terminology, operational processes, safety protocols, and quality standards (e.g., AS9100) helps in understanding the context and importance of each order.

· Strong Communication Skills: The role requires clear and professional communication to coordinate effectively with internal teams (sales, engineering, finance, shipping) and external customers or vendors to resolve discrepancies and provide order updates.

· Organizational and Time Management Abilities: Order entry associates often manage multiple accounts and tasks concurrently in a fast-paced, deadline-oriented environment. Strong organizational skills are needed to prioritize workloads and ensure timely processing and fulfillment.

· Problem-Solving Skills: The ability to identify and resolve issues quickly, such as pricing errors, inventory discrepancies, or shipping delays, is a key skill to ensure smooth operations and customer satisfaction.

· Computer Proficiency: In addition to specialized software, strong general computer skills, including proficiency with the Microsoft Office Suite (especially Excel for data analysis and reporting), are required.

Education / Degree Requirements

· Preferred: Bachelor’s degree.

· Alternative: Equivalent professional experience (typically 4–7 years).

· Optional: Coursework or certification in relevant industry or role.
