About this position


OBJECTIVE / ACCOUNTABILITY

Assist dispatcher with distributing shipping orders to carriers. Assist production with various tasks in times of need. Establish and maintain relationships with individual drivers to provide the best possible customer service.   Coordinate with shipping, carriers, production, terminals and customers to deliver materials in a timely manner.   Work hours necessary to accomplish the task. Achieve personal goals through the company.  Strive for customer satisfaction with prompt and courteous service.

KEY RESPONSIBILITIES 

Shipping/Production:

  • Assist Dispatcher in distributing orders to contractors
  • Process all pickup customer orders 
  • Print & arrange orders according to company standards
  • Communicate with yard on trucks and customers coming out to load
  • Aid production in maintaining professional appearance in and around office 
  • Answer sales questions about driver arrival or loading times for Ottawa bulk trucks

 

Office Functions:

 

  • Call all customers with delivery information and get instructions/directions as needed
  • Answer phones & emails
  • Create maps as needed for truck drivers
  • Create Bill of Ladings
  • Process and prepare returned paperwork for invoicing
  • Maintain office cleanliness
  • Create transfer orders for drivers
  • Assist Ottawa Facility manager with projects or tasks as needed

 

Customer Service:

                

  • Greet walk up customers and enter their orders
  • Maintain current information in customer database
  • Continually update knowledge of products, industry and customers

Safety Responsibilities

  • Understand and comply with all company safety policies.
  • Maintain a high level of safety awareness in personal work and throughout the facility.

Required Skills

  • Verbal Communications – clear, concise, timely, professional
  • Computer Skills – knowledge of windows (word, excel, e-mail, etc.)
  • Organizational – strong skills needed, the magnitude of paperwork makes it necessary to be well organized and to be able to prioritize tasks.  
  • Team Player – it is necessary to be involved with multiple departments and personnel.  Must deal with both internal and external customers.
  • Attitude – must be positive, upbeat and professional.   Business is seasonal and workloads will be heavy ‘in season’.

EDUCATION AND / OR EXPERIENCES

  • Previous experience in customer service & shipping would be helpful
  • Computer knowledge/skills a must

SKILLS AND ABILITIES 

  • Ability to multi-task, work in a fast paced environment and meet deadlines
  • Be on time and work hours needed including Saturdays during the peak season
  • Strong commitment to customer service and feedback
