Role Overview

The Multi-Entity Payroll Specialist is responsible for full-cycle, multi-state payroll administration across multiple legal entities and EINs. This role ensures accurate payroll processing, federal and state tax compliance, proper intercompany allocation, accounting accuracy, and audit readiness.

The ideal candidate has a minimum of five (5) years of payroll experience, including multi-state filings and multi-entity payroll structures, and hands-on experience with Paylocity and Workday. Experience with NetSuite or similar ERP systems is preferred.

This position requires strong internal control discipline, reconciliation expertise, and the ability to manage payroll complexity across multiple jurisdictions and corporate entities.

The Multi-Entity Payroll Specialist is a critical control function within the Company’s financial governance framework. Payroll represents one of the organization’s largest recurring expenditures and carries significant regulatory exposure across federal, state, and local jurisdictions. In a multi-entity structure, this complexity increases materially due to separate EINs, intercompany allocations, and jurisdictional tax obligations.


Key Responsibilities

1. Multi-Entity Payroll Processing

  • Process full-cycle, multi-state payroll across multiple legal      entities/EINs
  • Ensure accurate allocation of wages, taxes, and benefits by entity
  • Validate payroll data (salaries, hourly wages, bonuses,      commissions, deductions, garnishments)
  • Utilize Paylocity for payroll execution and Workday      for employee data management
  • Reconcile payroll registers by entity prior to final submission
  • Coordinate payroll funding by entity and confirm timely      disbursement
  • Maintain segregation of duties and internal payroll controls

2. Tax Compliance (Federal, State & Local – Multi-Jurisdiction)

· Oversee and validate timely filing of Forms 941, 940, state withholding returns, unemployment reports, and local filings for multiple entities

· Ensure proper multi-state tax withholding based on work and residence locations

· Maintain and manage separate tax agency accounts by entity

· Coordinate annual W-2 and 1099 reporting across entities

· Research and resolve payroll tax notices and agency correspondence

· Monitor regulatory updates impacting multi-entity payroll compliance


3. Accounting & Intercompany Reporting

· Prepare payroll journal entries by entity

· Allocate shared payroll expenses and benefits across entities as required

· Reconcile payroll-related general ledger accounts monthly in NetSuite (preferred) or other ERP systems

· Maintain payroll accruals (PTO, bonuses, commissions, payroll taxes) by entity

· Support month-end and year-end close processes

· Ensure payroll reporting aligns with financial statements at both entity and consolidated levels


4. Audit Support (IRS, State Agencies, External Auditors)

· Provide payroll documentation for IRS and state payroll audits across entities

· Support external audits (e.g., Deloitte or other audit firms)

· Reconcile payroll tax filings to general ledger and financial statements

· Maintain organized, audit-ready payroll files by entity

· Assist with agency inquiries and compliance reviews


5. Systems Administration & Record Management

· Maintain data integrity between Paylocity and Workday

· Ensure proper entity-level configuration within payroll systems

· Review and manage system access controls

· Maintain payroll documentation in compliance with federal and state retention requirements

· Participate in system upgrades, testing, and process improvements

· Identify automation and efficiency opportunities across entities

Requirements:

  

Required Qualifications

· Minimum 5 years of payroll experience, including multi-state and multi country payroll 

· Demonstrated multi-entity/EIN payroll processing experience

· Hands-on experience with Paylocity 

· Strong understanding of federal and state payroll tax regulations

· Experience supporting IRS, state, and external audits

· Advanced Excel skills (pivot tables, reconciliations, reporting)

· High degree of accuracy, discretion, and internal control awareness


Preferred Qualifications

· CPP certification preferred

· ERP experience: NetSuite preferred but not required

· Hands-on experience with Workday

Compensation: 

The wage range for this role considers a wide range of factors considered in making compensation decisions including skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At EFESO, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. The salary range for this position is $65,000-$80,000.

Salary Information

$65000.00 - $80000.00 Annual Salary
