POSITION OVERVIEW:

Under the supervision of the Corporate Food and Occupational Safety Supervisor, the Safety Department Clerk is responsible for maintaining and organizing compliance records and documentation for all company facilities. This role ensures that records are audit-ready, tracks training renewals, and assists in supporting company-wide safety initiatives. The ideal candidate is highly organized, proactive, and adept at collaborating across all levels of the organization.

PRINCIPLE RESPONSIBILITIES:

  • Compliance Management:
    • Collect and maintain compliance records for all company facilities in a centralized file system.
    • Track expiration dates for permits and certificates, setting timely reminders to ensure all documentation remains up-to-date.
    • Conduct regular audits on training records to ensure accuracy and regulatory compliance.
    • Keep all compliance records audit-ready to support internal and external safety audits.
  • Training and Documentation Oversight:
    • Set and manage reminders for compliance training renewals for relevant teams.
    • File and maintain training records accurately and in a timely manner, ensuring accessibility and compliance across the organization.
  • Administrative Support and Communication:
    • Complete all shift documentation accurately, ensuring information is organized and up-to-date.
    • Work with individuals at all levels of the organization, providing assistance and reminders as needed to support safety and compliance.
    • Regularly communicate with internal teams, handling documentation requests, and providing professional updates on compliance matters.

REQUIRED SKILLS:

  • Proficiency in Microsoft Office (Word, Excel).
  • Strong organizational and time management skills; ability to manage multiple tasks efficiently.
  • Effective verbal and written communication skills, with a professional demeanor.
  • Ability to work collaboratively with individuals at various levels in the organization.
  • Flexibility to work overtime or weekends as needed to meet critical deadlines.

EXPERIENCE AND EDUCATION:

  • High school diploma or equivalent is required.

WORKING CONDITIONS AND PHYSICAL DEMANDS:

This role operates in a professional office environment. The primary office environment includes ambient room temperatures, standard lighting, and traditional office equipment. The position may involve sitting or standing for extended periods and occasional lifting of up to 25 pounds. Proper lifting techniques are required.
