KRW is looking for a bright, detail oriented, and self-motivated individual to join the team as a Client Intake Specialist who is an active Notary for the State of Alabama. We are needing a customer service oriented person with an eye for detail who thrives in a fast-paced environment.
Responsibilities:
This position includes but not limited to duties such as: utilizing multi-line phone systems, greeting clients, reviewing and notarizing legal documents, transcribing medical dictations, and performing vital signs in a clinical setting if needed. Standard admin duties including: e-filing, faxing, scanning, mailings, & scheduling.
Deliver outstanding customer service to clients in a high call volume setting
Perform administrative duties including data entry, document management, and updating of databases
Coordinate and assist in sorting, filing, faxing, and copying documents
Facilitate communication between all departments
Participate in office rotation and clinics
Open to traveling for clinics

The Client Intake Specialist plays a critical role in the initial phase of client engagement by efficiently managing and processing incoming client information to ensure a smooth onboarding experience, as well as handling established client inquiries in a high call volume setting. This position serves as the first point of contact for prospective clients, gathering essential data, verifying documentation, and accurately entering information into the company’s systems. The specialist collaborates closely with various internal teams to facilitate timely follow-up and support throughout the intake process. By maintaining clear communication and a client-focused approach, the role helps build trust and sets the foundation for long-term client relationships. Ultimately, the Client Intake Specialist ensures that all client information is complete, accurate, and compliant with company policies and regulatory requirements, contributing to overall operational efficiency and client satisfaction.
Minimum Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Active Notary for the State of Alabama
- Prior call center experience required
- Prior experience in client intake, handling high call volume, operating multiline phone systems, customer service, or administrative roles.
- Strong proficiency with data entry and client management software.
- Excellent verbal and written communication skills.
- Ability to handle sensitive information with discretion and maintain confidentiality.
Preferred Qualifications:
- Experience working in legal, healthcare, or financial services industries
- Familiarity with regulatory compliance related to client data management.
- Proficiency in CRM software such as Salesforce or similar platforms.
- Bilingual abilities, especially in Spanish, to support diverse client populations.

- Respond promptly to client inquiries and provide clear information regarding the intake process and next steps.
- Maintain confidentiality and security of sensitive client information in accordance with company policies.
- Track and report on intake metrics to identify areas for process improvement and ensure timely client processing.
