The People & Culture Coordinator supports the daily operations of the department and plays an important role in shaping the employee experience at Appellation Healdsburg. The ideal candidate brings strong organization, steady follow-through, and a high level of professionalism. You move through your day with accuracy, clarity, and calm presence. You take ownership of tasks, respond quickly, and support a smooth workflow for the entire hotel.


This role is part of a small, high-performing P&C team, so reliability, integrity, and consistency are essential. You help create an environment where employees feel welcomed, supported, and connected to our culture and values.


DUTIES

· Coordinate onboarding from start to finish, including document collection, I-9 verification, new-hire setup, and orientation support

· Maintain accurate and organized personnel files in compliance with state, federal, and company requirements

· Respond to employee questions regarding policies, procedures, and benefits in a timely and professional manner

· Support benefits administration, including new-hire enrollments, changes, and open enrollment logistics

· Assist with recruiting by posting jobs, scheduling interviews, communicating with candidates, and supporting hiring managers

· Ensure all labor law posters and compliance notices are current at every required location

· Assist with planning and executing P&C programs such as employee events, trainings, recognition initiatives, and wellness activities

· Prepare and maintain P&C materials including orientation packets, signage, and training collateral

· Track employee milestones including annual reviews, birthdays, anniversaries, and confirmations of employment

· Support payroll administration with accurate timekeeping audits and follow-up as directed

· Provide administrative support to the Director of People & Culture

· Perform additional HR duties as needed to support the department and hotel operations


QUALIFICATIONS

· 1–2 years of HR or People & Culture experience, preferably in hospitality

· Spanish proficiency required

· Strong organizational skills with consistent follow-through and accuracy

· Hospitality mindset with a warm, professional approach when supporting employees

· Excellent communication skills (written, verbal, interpersonal)

· Ability to manage time effectively, prioritize tasks, and stay focused in a fast-paced environment

· Ability to maintain confidentiality and handle sensitive information with discretion

· Experience with Paylocity, Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); HRIS or ATS experience a plus

· Dependable, proactive, solution-oriented, and comfortable working independently or collaboratively
