The Service Coordinator is responsible for assisting the account managers and technicians. They’ll help ensure the technicians are scheduled and supplied with all parts needed maximizing their efficacy throughout the day.


Principal Accountabilities:

  • Coordinates Daily / Weekly technician schedule.
  • Schedule and dispatch fire sprinkler service technicians for inspections, repairs, testing, and emergency service.
  • Coordinate daily and weekly routes to ensure efficiency and minimize downtime.
  • Serve as the primary contact for service-related inquiries, scheduling requests, and updates.
  • Communicate job details, timelines, and requirements to customers and technicians.
  • Provide prompt follow-up on outstanding quotes, deficiencies, and recommendations.
  • Create work orders, service tickets, and job files in the company’s service software.
  • Ensure all documentation from technicians (reports, timesheets, notes, photo documentation) is complete and accurate.
  • Provide support on service contract jobs by completing submittals, compliance paperwork, and billings.
  • Prepare customer invoices based on completed service tickets.
  • Send inspection reports, deficiency notices, and compliance paperwork to customers.
  • Track and manage inspection intervals to ensure customers remain compliant.
  • Work closely with service technicians, sales, and the management team to improve workflow and customer experience.
  • Support the Service Manager with scheduling forecasts, workload balancing, and process improvements.
  • Receives all incoming requests for needed parts including replenishment of parts used the previous day and orders non-stock parts. Purchases needed parts via the COINS P.O. system.
  • Coordinates part/s pick-up and deliveries to Service Technicians as needed.
  • Coordinates parts for planned service accounts working with vendors to deliver direct to jobsite to meet technician.
  • Coordinates refrigerant recovery program, to include maintaining stock of clean tanks and returning all used refrigerant to vendor for processing. Maintains documentation for refrigerant purchases and usage.
  • Returns in a timely manner for credit all service parts purchased but no longer needed, filling out and receiving necessary paperwork to track.
  • Maintains an up-to-date listing of all service parts purchased but not yet installed.
  • Assists in inventory counting, recording and necessary paperwork.
  • Replenishing, ordering, and returning parts, processing service work orders, over-the-counter sales, processes paperwork for HAO jobs, UPS shipping, and warranty paperwork.
  • Tracks residential Carrier equipment inventory. Performs HAO job set up paperwork to include contacting electrical contractor, ordering equipment if necessary and coding material.
  • Assists with ordering, coding, and stocking inventory and supplies via the COINS purchase order system. Monitors stocking levels. Recommends new parts to stock or parts no longer needed in stock.
  • Files warranty claims for parts and makes certain warranty parts are stored for 30 days and marked with the appropriate disposal date. Make certain warranty parts are returned if vendor requests them.
  • Performs other duties/special projects as assigned.
Requirements:

Knowledge, Skills and Abilities Required:

  • Experience: At least 3 years of related experience
  • Education: Associates degree required, bachelor’s degree preferred
  • Technical Skills: Microsoft software proficiency, ability to create and maintain complex databases
  • Behavioral Skills: Forward thinker who seeks opportunities for improvement


Description of Physical Working Environment:

  • Primarily office-based, with occasional travel to field locations or corporate meetings.
  • May require lifting of supply boxes or materials up to 30 lbs.
