Job Summary: The Allocation & Receiving Specialist is responsible for the accurate receipt, allocation, movement, and control of materials and finished goods in a manufacturing environment. This role plays a key part in maintaining inventory accuracy through daily receiving activities, system transactions, cycle counts, and inventory control procedures. The Specialist supports production continuity by ensuring materials are available, properly recorded, and stored in accordance with company standards. As a primary role for control receiving, you are responsible for verifying, inspecting, and documenting all incoming materials, products, and shipments to ensure they meet quality, quantity, and documentation requirements before being accepted into inventory. This helps prevent errors, shortages, and non-conforming materials from entering the operation.


Roles and Responsibilities:

Key Responsibilities

· Receive and inspect incoming materials, components, and finished goods

· Verify shipments against purchase orders, packing slips, and delivery documents

· Check quantities, part numbers, condition, and specifications of received items

· Identify, document, and report damaged, incorrect, or non-conforming materials

· Place rejected materials in designated hold or quarantine areas

· Accurately record receiving data in inventory or ERP systems

· Label, tag, and route accepted materials to proper storage or production areas

· Coordinate with purchasing, quality, warehouse, and production teams to resolve discrepancies

· Maintain organized receiving and inspection areas

· Follow safety, quality, and company procedures at all times

· Support audits by providing receiving and inspection records


Receiving & Inventory Transactions

  • Receive raw materials, components, and      finished goods from vendors and internal transfers
  • Verify shipments against purchase      orders, packing slips, and bills of lading
  • Inspect incoming materials for quantity,      accuracy, and visible damage
  • Accurately process receiving      transactions in the ERP/WMS system
  • Label, stage, and put away materials in      assigned locations

Allocation & Material Support

  • Allocate materials to production orders,      work orders, or internal requests based on priorities
  • Pull, stage, and deliver materials to      production or staging areas as needed
  • Coordinate with Production, Purchasing,      and Shipping to prevent material shortages
  • Ensure proper material flow to support      manufacturing schedules

Inventory Control & Cycle Counts

  • Perform scheduled cycle counts (daily,      weekly, monthly) in assigned inventory areas
  • Research, document, and assist with      resolution of inventory discrepancies
  • Maintain inventory accuracy and location      integrity within the system
  • Support physical inventories and      internal/external audits
  • Identify and report trends or recurring      inventory issues

Compliance, Safety & Documentation

  • Follow all inventory control procedures,      SOPs, and internal controls
  • Maintain accurate documentation for      receiving, allocation, and adjustments
  • Comply with safety requirements and use      PPE as required
  • Maintain a clean, organized, and safe      work environment

General Warehouse Support

  • Operate material handling equipment such      as forklifts or pallet jacks (if certified)
  • Assist with shipping, staging, or other      warehouse functions as needed
  • Other duties as assigned


Requirements:

Qualifications/Requirements:

· High school diploma or equivalent

  • 1–3      years of experience in receiving, inventory control, or warehouse      operations (manufacturing preferred) or quality control preferred
  • Basic      understanding of inventory control and documentation, experience performing cycle counts and      inventory transactions

· Ability to read purchase orders, part numbers, and specifications

· Strong attention to detail and accuracy

· Basic computer skills (ERP, Excel, or inventory systems)

· Ability to lift and move materials as required

· Good communication and teamwork skills

· Warehouse or manufacturing environment

  • Ability      to lift up to 50 lbs. and stand/walk for extended periods

· May require standing, walking, bending, and lifting

  • Forklift certification preferred
  • Experience in a manufacturing or      production-support environment
  • Familiarity with MRP/ERP systems (INFOR      preferred)
  • Bilingual (English/Spanish) preferred
