About this position
The Events Coordinator (EC) is responsible for implementing and executing LV Zoo events, which include all signature events, promotions and rentals. EC will assist the Communications and Events Lead (CEL) with the planning, development and review of all zoo events -- in coordination with respective departments -- with the goal of increasing attendance and guest satisfaction while educating the community of our mission. Additionally, the EC is to coordinate and manage Zoo facility rentals. Lehigh Valley Zoological Society is a non-profit founded in 2004 with a mission to connect its community with nature to empower people to protect wildlife.
MAIN DUTIES AND RESPONSIBILITIES
• Collaborate with CEL and department heads to create LV Zoo’s annual schedule of events and promotions
• Conduct weekly and monthly event meetings with department directors for broader planning and to allow advance notice for potential needs
• Work with marketing team for all collateral, posts, signage, etc. needed to ensure the successful marketing of events and promotions
• Obtain essential materials, props, decorations, vendors, etc., to ensure event success
• Collaborate with Volunteer Coordinator and Operations department to ensure proper and thorough staffing of events, guiding staff from setup to execution to cleanup
• Collaborate with Operations department for event setup
• Research and develop creative ideas for the implementation or enhancement of special events and promotions
• Work with CEL to convert rental inquiries into bookings; meeting with contacts, finalizing contracts and executing event
• Be able to successfully handle onsite criticism relating to the guest/client experience
• Be familiar with the Zoo’s history, Mission Statement, current accomplishments, and future goals
• Other duties as assigned
SKILLS COMPETENCIES ·
• Highly proficient in Microsoft Office suite, including Outlook, Word, Excel, PowerPoint
• Detail oriented and organized
• Excellent written and verbal communication skills
• Motivated self-starter with the ability to work independently with purpose and accuracy as well in a group setting

QUALIFICATIONS AND EXPERIENCE
· Associate degree in related field preferred
· High School Diploma with a minimum of 2 years of related work experience
· Ability to work weekends (April-December)
· Adjusting workdays and hours to accommodate attendance at signature events, special promotions and Winter Light Spectacular; all which require some availability on weekends, holidays and evenings
