About this position
SUMMARY
Assists in front office by performing the following duties in compliance with ISO guidelines:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Retrieves messages from voice mail and forwards to appropriate personnel. Answers incoming telephone calls in a friendly, professional manner, determines purpose of callers, and forwards calls to appropriate personnel or department. (40-50%)
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers questions about organization and provides callers with address, and other information. (5-10%)
- Welcomes on-site visitors and monitors visitor access, determines nature of business, and announces visitors to appropriate personnel in a professional manner.
- Checks in and routes all incoming packages to appropriate departments (FedEx, UPS) Checks in packages and emails employees.
- Prepares, logs, and affixes shipping labels on packed cartons.
- Sorts and delivers Info@ATAS emails, creates content for memos and email communication.
- Prints and posts meeting room calendars daily, Schedules and posts DYK and Quarterly Communication meetings
- Manages vending machine program.
- Maintains wellness and engagement calendar and participates in the wellness and engagement team, coordinates prep/cleanup efforts for events; Maintains the quarterly raffle drawing event
- Coordinates events, including blood drives and flu clinics with HR
- Turns announcement monitors on and off morning and evening each day.
- Maintains and updates office seating map.
- Keeps front lobby, front office, and conference room neat and organized as needed, including plant care. Watering plants twice per week. Manages cleaning crew sending requests.
- Orders and maintains office supplies and first aid supplies.
- Prepares coffee for the office, in-house training, and visitor events (Both Morning and Evening), and is responsible for maintaining the Kennis Cafe, by loading and emptying dishwasher.
- Assists with color chips. Assists the sampling department every day, including transmittal daily and labeling color chips.
- Supports office administrator duties as needed.
- Follows all company safety rules.
- Assists administrator in annual activities like CAPE, Chocolates and Christmas Cards
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to follow established safety rules.
