Foxleigh Mine is located 15km south of Middlemount and approx. 275km northwest of Rockhampton. The mine is in its 25th year of operation producing premium PCI metallurgical coal for use in steel manufacturing. Foxleigh is seeking a highly organised and proactive administrator to support the rollout of our contractor management systems. This role is critical in ensuring contractors and internal stakeholders are set up for success, remain compliant, and are supported through new system and governance requirements.

About the Role

This position sits at the centre of contractor engagement, compliance coordination, and governance oversight. You will work closely with contractors, Contract Owners, and the Health, Safety & Training (HST) team to ensure contractor management requirements are understood, completed, and maintained.


Key Responsibilities


1. Contractor Engagement & Support

  • Act as a key point of contact for contractor companies on behalf of Foxleigh and Contract Owners
  • Guide contractors through contractor management requirements and system functionality

2. Contractor Management Document & Compliance Coordination

  • Initiate, track, and support completion of all contractor system requirements
  • Assist Contract Owners with their site-specific responsibilities in the system and processes, setting them up for effective ongoing management

3. Governance & Oversight

  • Monitor, report on, and escalate contractor compliance status as required
  • Maintain accurate records and ensure strong data integrity within the contractor management system

4. Scheduling & Stakeholder Management

  • Coordinate and support progress meetings to ensure timely progression toward contractor approval and sign-off
  • Provide clear, consistent communication to contractors, Contract Owners, and the HST team


About You


You are an experienced administrator who thrives in structured, process-driven environments and can confidently manage multiple stakeholders.

Mandatory Requirements

  • Demonstrated experience as a high-level administrator within the mining or resources sector
  • Strong organisational and time management skills with the ability to manage competing priorities
  • High-level communication and stakeholder engagement capability
  • Intermediate to advanced proficiency in Microsoft Excel and the Microsoft Office suite

Desirable Experience

  • Familiarity with contractor management systems or Health, Safety & Environment (HSE) processes
  • Experience with site training processes and Learning Management Systems, preferably DAMSTRA
