Location: Office Based, Geneva, IL

Schedule: Full-Time, Monday-Friday, 7:00am-3:30pm

Compensation: $25-$30, depending on experience

Benefits: Health and dental covered 100%, paid time off, holidays. 


About the Role:

 As the Office Coordinator, you play a vital role in ensuring the smooth and efficient operation of our office each day. You will manage essential administrative tasks—including project planning, proposal creation, equipment and supply orders, invoice processing, and permit tracking—while creating a welcoming atmosphere for all employees and guests.  


Key Responsibilities:

  • Assist with daily project planning and proposal creation
  • Place orders for equipment and drop boxes
  • Handle invoices and accounts payable
  • Answer phones, direct calls, and take messages professionally
  • Apply for, obtain, and track permits for projects in various municipalities
  • Manage and track union dues through payroll deductions
  • Collaborate with colleagues to ensure project deliverables are met
  • Perform other duties as assigned

Qualifications:

  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks and prioritize effectively
  • Proficient computer skills
  • Effective communication skills for cross-department collaboration
  • Construction experience preferred, but not required


Requirements:
  • High school diploma or G.E.D. equivalent required; Associates degree or Bachelor’s degree preferred.
  • 2-3 years of experience in office administration, clerical work, or a related field.

 Additional Requirements:

  • Excellent oral and written communication skills.
  • Ability to apply common sense and follow written, oral, or diagram instructions.
  • Capable of solving problems involving multiple variables in standardized situations.
