About the Role

NIOA is seeking a proactive and organised Facilities Coordinator to support the smooth operation of buildings, facilities and grounds across Australia and New Zealand. This role is responsible for coordinating maintenance, repairs and site improvements, ensuring facilities are safe, functional, and compliant with relevant legislation and standards.

Key responsibilities include:

  • Coordinate preventative maintenance schedules, inspections and repairs across sites
  • Manage contractor and supplier performance to ensure quality and timeliness of work
  • Support tracking of facilities budgets, invoices, and expenditure reporting
  • Coordinate office moves, relocations, and site changes to ensure minimal disruption
  • Assist in emergency preparedness and site readiness planning
  • Maintain compliance with WHS requirements, policies, procedures and industry standards
  • Respond to staff facilities requests with a service-focused approach

The ideal candidate will be professional, reliable, and confident engaging with stakeholders at all levels. Strong organisation skills, flexibility, and a solutions-focused mindset are essential to succeed in this fast-paced coordination role.

Key requirements:

  • Demonstrated experience in facilities coordination or facilities management.
  • Proven knowledge of industry standards and WHS legislation (essential).
  • Strong time management skills and the ability to manage competing priorities.
  • Ability to work collaboratively with internal stakeholders and external providers.
  • High levels of professionalism, confidentiality, integrity and discretion.
  • Flexibility to support business and contractor requirements as needed.
