Job Title: Physician Support Specialist
Location: North Scottsdale, AZ
Salary: $50,000.00-$55,000.00 annually

Schedule: On-site Monday through Friday. 8-hour day shift. No nights, no weekends, and no major holidays!
Position Overview:
The Physician Support Specialist provides support across patients onboarding, case preparation, medical transcription, and clinical documentation to ensure high-quality patient care at Envita Medical Centers. Working cross-functionally with medical, administrative and care coordination teams, this role coordinates new patients onboarding, verifies documentation, supports case reviews prior to physician visits, transcribes and enters clinical information into the EMR, and tracks laboratory data.
Key Responsibilities:
Patient Onboarding & Intake
- Initial engagement (within 24–48 hours of booking):
- Call patients to confirm appointments and verify the status of the billing/payment link.
- Audit completion of New Patient Paperwork (NPPW) and Release of Information (ROI) forms.
- Enter all completed NPPW promptly into the EMR.
- Follow-up & continuity:
- Place a second follow-up call as needed to assist patients in obtaining missing medical records.
- For appointments booked >3 weeks out, place a third call one week prior to reconfirm.
- Workflow documentation:
- Use the “New Patient’s Task Bucket” to document all onboarding actions and maintain a complete audit trail.
- Records readiness:
- Coordinate to ensure any updated labs/records a reidentified and requested; create or route lab requisitions for missing data as needed.
Patient Case Review & Preparation
- Track and verify incoming patient records to ensure completeness for case review.
- Send patient record reminder communications:
- Mon/Wed/Fri for the following week’s appointments.
- Mondays for outstanding needs for the current week.
- Check daily for appointment additions/updates and for newly received medical records; review and route for escalation as indicated.
- Flag complex/unclear cases for additional review by the Physician Support Specialist Supervisor.
Medical Transcription & Clinical Documentation
- Accurately transcribe physician audio and enter structured clinical information into the EMR (Practice Fusion and EIR EMR Clinic Works).
- Prepare, proofread, and correct transcripts using in-depth knowledge of medical terminology; ensure documentation accuracy, consistency, and completeness.
- Update medication lists and chart notes in preparation for physician review.
- Meet defined turnaround times:
- Imaging: same day
- EIR consults: early AM
- HS/CC symptom trackers: before the scheduled appointment
- Cancer lab transcriptions and New Patient Paperwork: within48 hours and before the scheduled appointment
- Identify missing information; contact appropriate healthcare personnel to obtain and complete records.
Departmental Collaboration & Administrative Support
- Coordinate closely with physicians, nursing, front desk, HR, scheduling, medical records, and PCC to support comprehensive, timely patient care.
- Support special projects as requested by the Physician Support Specialist Supervisor and Physician management.
- Manage tasks and communication via Microsoft Teams, Outlook, Planner, SharePoint, calendars, and internal spreadsheets.

- Maintain 100% compliance with HIPAA, OSHA, and Envita’s Employee Handbook.
- Contribute to a positive, team-oriented culture and stay informed on evolving workflows.

- Maintain a consistent daily start time and meet all documentation and turnaround requirements.

This is an on-site position based at our North Scottsdale headquarters.
