About the Role:
The Accounting Assistant plays an important role in supporting the day-to-day accounting operations of the company. This position supports a variety of accounting functions including accounts payable, billing, payment processing, and general accounting support. The role works closely with a long-tenured accounting team member, as well as the Controller and CFO, to help maintain accurate financial records and support the company’s accounting processes.
This position learns existing procedures, supports daily accounting tasks, and gradually takes on greater responsibility as knowledge is transferred over time. The ideal candidate is organized, reliable, and comfortable handling multiple accounting-related responsibilities in a professional office environment.
Minimum Qualifications:
- Prior experience in accounting, bookkeeping, or accounting support roles.
- Familiarity with accounts payable, billing, and general accounting functions.
- Strong attention to detail and organizational skills.
- Comfortable working with Excel and accounting software.
- Ability to manage multiple tasks and meet deadlines.
- Good communication skills and willingness to learn.
Preferred Qualifications:
- Additional experience supporting accounting operations within a professional office environment.
- Experience supporting accounting systems or process improvements.
- Experience working collaboratively within an accounting or finance team.
Responsibilities:
- Review and process vendor invoices.
- Ensure invoices receive proper approvals before payment.
- Enter invoices into the accounting system and maintain supporting documentation.
- Maintain vendor records and resolve vendor inquiries or discrepancies.
- Support check runs and electronic payment processing.
- Prepare and process customer invoices on a monthly and as-needed basis.
- Verify billing information for accuracy and completeness.
- Enter billing information into the accounting system and maintain customer records and supporting documentation.
- Coordinate with operations staff to confirm billing details.
- Monitor and support tracking of outstanding invoices and payments.
- Prepare and print checks and maintain payment logs and supporting documentation.
- Support deposit preparation and payment tracking.
- Maintain organized accounting files and records.
- Support month-end accounting processes.
- Support account reconciliations and reporting as needed.
- Provide administrative and accounting support for the accounting team's projects.
- Support the accounting team in improving and documenting accounting processes.
- Support the continued implementation and optimization of accounting systems.
- Identify opportunities to streamline workflows and improve efficiency.
- Ensure data is entered accurately and consistently to support reporting and operations.
- Work alongside a senior accounting team member to learn current procedures and document processes.
- Gradually assume additional responsibilities as knowledge is transferred.
Skills:
Strong organizational and attention-to-detail skills are essential for maintaining accurate financial records and supporting daily accounting operations. Knowledge of accounts payable, billing, and payment processing supports the timely and accurate handling of financial transactions. Proficiency in Excel and accounting software supports efficient data entry, record maintenance, and reporting. Effective communication skills support coordination with vendors, operations staff, and the accounting team when resolving discrepancies or confirming billing details. The ability to manage multiple tasks and maintain organized records enables the Accounting Assistant to contribute to the efficiency and accuracy of the company’s accounting processes.
