ROLE SUMMARY
The Client Services Specialist is responsible for coordinating all aspects of patient case development and equipment order preparation for durable medical equipment (DME). This role includes handling referral requests, gathering and reviewing medical records, verifying insurance coverage, performing patient intake, and approving orders based on insurance guidelines. The Client Services Specialist collaborates closely with territory managers, associate sales representatives, and internal teams to ensure timely and accurate service delivery. This is a full-time, in-office position with Monday through Friday hours.
KEY RESPONSIBILITIES
• Handle incoming requests from referrals for new DME orders
• Request and review medical records from referral and physician offices
• Gather all necessary information to ensure authorization and medical necessity
• Provide patients with information regarding financial responsibility and product features
• Perform patient intake and record medical necessity information into company systems
• Communicate order status with territory managers, associate sales representatives, and referrals
• Approve orders in accordance with insurance guidelines prior to release to shipping
• Participate in traditional and e-learning programs for ongoing development
• Work effectively with other company employees, managers, and departments
• Perform all job functions in alignment with the company’s Mission, Vision, and Goal Statements
• Perform other duties as assigned
• High School Diploma or GED required; equivalent combination of education and related experience considered
• Minimum three years of related experience and/or training
• Strong verbal communication skills with ability to multitask and work independently
• Knowledge of insurance guidelines and DME experience preferred
• Proficient computer skills and practical knowledge of office software and equipment
• Ability to quickly acquire knowledge of departmental program structure, company policies, and procedures
• Ability to interpret and apply complex information, collect data, establish facts, and draw valid conclusions
• Ability to perform effectively in a fast-paced environment with minimal supervision
