ABOUT THE ROLE:

The Community Health Practice Supervisor is responsible for supervising and coordinating activities of the office staff in the medical practice.  In collaboration with and under the direction of the Practice Manager, the Community Health Practice Supervisor will ensure the workflow, behavior and attitude of all staff support Community Health’s values and mission.


FUNCTIONS OF THE POSITION: 

  • In collaboration and under the direction of the Practice Manager, will assist with hiring, training, and supervising clerical and clinical staff and helps them develop performance goals and objectives.
  • Trains, fosters, and monitors customer service behaviors and performance of all front office staff to facilitate and ensure the highest levels of customer service to patients and patient satisfaction performance.
  • Manages and coordinates staff/provider schedules. Ensures there is appropriate front desk coverage for Primary and Express Care and fills in at desk as needed for coverage. Assists with appropriate scheduling of clinical staff for Primary Care. 
  • Verifies completeness, accuracy, and timeliness of work performed by clerical and clinical staff.
  • Based on organizational goals, determines work procedures, prepares work schedules, and expedites efficient workflow. 
    • Develops guidelines for prioritizing work activities, evaluating effectiveness and modifying activities, as necessary.   Ensures that the office is staffed appropriately.
    • Supports and upholds established policies, procedures, objectives, quality improvement, safety, environmental and infection control, and codes and requirements of accreditation and regulatory agencies.
  • Responsible for ensuring all clerical/clinical supplies are ordered and available when needed. 
  • Assists with covering and responding to the security alarm system. Ensures office signage is current and presented in professional manner.
  • Responsible for tracking purchase orders and other administrative logs and reports for the medical office.
  • Ensures that office space, supplies, equipment, and assistance are provided and maintained appropriately for medical staff and patient care.
  • Maintains harmony among employees and resolves concerns of staff in a timely manner.
  • In collaboration with Practice Manager, resolves patient/customer complaints in a timely manner.
  • Ensures that practice schedules allow for optimal patient access.
  • Responsible for the achievement of productivity and quality goals for the practice(s)
  • Holds regular meetings with staff to ensure timely communication of organizational updates and changes.  Provides opportunity for staff to ask questions and give feedback.         
  • Operates within the context of an established budget.   Assists Practice Manager in making recommendations for an annual budget and maximizes opportunities to meet and exceed budgeted guidelines.
  • Attends meetings and participates on committees as needed.
  • Promotes and facilitates a high degree of teamwork collaboration and morale within and among the front office and clinical staff. 

 

MANAGERIAL RESPONSIBILITIES

  • Supervises the work of front office and clinical employees.  
  • Carries out Front Office responsibilities in accordance with the organization’s policies and applicable laws.
  • Reporting to the Practice Manager, the Community Health Practice Supervisor has input into the selection of staff, training employees; planning, assigning, and directing work, appraising performance, and addressing complaints and resolving problems.

SKILLS REQUIRED FOR SUCCESS:

  • Bachelor’s degree in business and or healthcare administration preferred or equivalent experience in lieu of degree.  
  • Two to four years related experience and/or training; or equivalent combination of education and experience.  
  • Ability to write reports, correspondence and effectively present information and respond to questions from groups of managers, customer/patients and the general public
  • Intermediate MS Office Skills
  • Solid background in leadership skills
  • Ability to communicate clearly
  • Ability to learn new skills and adapt to change quickly 
  • Reports to work on time and as scheduled; excellent attendance record
  • Completes work in accordance with productivity metrics
