About this position


Purpose: As a member of the finance team, the Payroll Specialist will ensure accurate processing of the organization’s payroll, provide timely and accurate financial information and perform payroll processing tasks for bi-weekly, semi-monthly and customized payrolls.  The Payroll Specialist is responsible for maintaining payroll in the HRIS system and will require this individual to observe and manage multiple deadlines to validate time entries, wage calculations, withholdings, and deductions. The Payroll Specialist serves as a point of contact for employees to resolve pay-related queries and ensure accounts are reconciled and balanced. This individual must be highly organized and detail-oriented to ensure accurate and timely processing of payrolls and related reports.

Location:

This position is at our Bloomington, MN headquarters.  This position has the opportunity to become hybrid (3 office, 2 remote) after training period


Key Result Areas:  

    Manages and guarantees accurate and timely disbursement of bi-weekly, semi-monthly and customized payrolls

    Monitors wage and benefit rates, including new hires and terminations, to determine payroll amount

    Validates timekeeping sources for accuracy

    Process wage garnishments and income verification inquires

    Calculate the correct wage payments incorporating overtime, deductions, bonuses, true-up and other pay

    Prepare regular and ad-hoc accounting and audit reports for upper management, finance department, etc. 

    Address issues and questions regarding payroll from staff and management

    Keep informed about changes in tax, deduction, timekeeping, and deduction laws by state that apply to the payroll process

    Calculate compensation for internal short-term disability and other pay programs

    Review payroll data and sources to detect and reconcile payroll discrepancies

    Supports and validates adjustments for pay rates, bonuses, and special pay

    Responsible for timely year-end and quarterly compliance reporting (941) and tax documents (W-2, W-4) 


Education, Skills and Experience: 

    High School diploma or GED required

    Associate’s degree in business, finance or accounting, preferred

    4-6 years’ payroll experience or a similar role, preferably in healthcare industry

    Strong understanding of payroll taxes and practices

    Excellent mathematical and data entry skills to process pay and problem-solve

    Ability to work with a team

    Knowledge of different types of payroll software

    Knowledge of payroll, garnishments and benefit deductions

    Ability to multitask and prioritize

    Good research and analysist skills

    Excellent attention to detail and accuracy

    Ability to handle sensitive and confidential information with discretion.

Equipment/Software/Systems Used:

    Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, TEAMS and Power Point) 

    Ability to use and obtain payroll information from timekeeping system(s)

   Calculator (10-key or electronic)

   UKG experience, a plus


Required Certificates, Licenses and Registrations: 

    CPP (Certified Payroll Professional) or CPS (Certified Payroll Specialist), a plus
