Role:

To oversee the maintenance, safety, and functionality of our buildings, grounds, and company vehicles. This role is responsible for ensuring that all facilities are well-maintained, compliant with regulations, and operating efficiently to support daily business operations.

 

Essential Functions & Responsibilities:

 

  • Track make, model, and condition of HVAC systems, generators, and pumps for every location. Develop and manage maintenance schedules and troubleshooting protocols with appropriate vendors. Coordinate inspections and ensure systems are operating efficiently.
  • Develop and maintain an aging and lifecycle schedule for major assets (e.g., roofs, parking lots, landscaping). Assist in capital budgeting and long-term facility planning. Monitoring conditions of lots for seal coating, potholes, and accessibility compliance and scheduling routine maintenance and repairs.
  • Maintain schematic diagrams and documentation of electrical infrastructure. Ensure compliance with safety codes and coordinate necessary upgrades.
  • Manage a list of preferred vendors with contact information for all locations. Conduct vendor due diligence and manage service contracts. 
  • Conduct regular facility inspections to identify and address potential issues.
  • Plan and manage facility upgrades, renovations, and space planning.
  • Ensure compliance with health, safety, and environmental regulations. Responsible for facility emergencies and resolving issues promptly.
  • Responsible for security system, cameras, and conducts all security training.
  • Handles the routine maintenance and replacement schedules, record keeping, and insurance for company vehicles in every location.         
  • Performs other job-related duties as assigned.

 

Performance Measurements:

 

1.

Ensure that all maintenance and repairs of buildings, equipment, and systems (HVAC, plumbing, electrical, etc.) are happening as scheduled.

2.

Vendor relationships and service contracts for cleaning, landscaping, security, and other facility-related services are meeting organizational needs.

3.

Developed maintenance schedules are followed and managed regularly.

4.

Ensure compliance with health, safety, and environmental regulations.

5.

Facility emergencies are resolved promptly and documented for future reference.

6.

Records of inspections, maintenance, and repairs are accurately maintained.

 

Knowledge and Skills:

 

Experience

Three years to five years of similar or related experience. 

 

Education

(1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program. 

 

Interpersonal Skills

Motivating or influencing others is a material part of the job. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others. The role requires a significant level of trust or diplomacy. 

 

Other Skills

Proven experience in facilities management or a related field. Excellent organizational and project management skills. Ability to manage budgets and negotiate contracts. Strong problem-solving and decision-making abilities. Proficiency with technology and Microsoft Office Suite. 

 

Physical Requirements

Mobility: Ability to move freely throughout facilities, including walking, standing, bending, climbing stairs and ladders, and navigating uneven surfaces.
 
 Lifting: Must be able to lift and carry items up to 50 pounds, such as tools, equipment, and supplies.
 
 Manual Dexterity: Use of hands and fingers to handle tools, operate equipment, and perform repairs or inspections.
 
 Visual Acuity: Ability to read blueprints, schematics, and technical documents; inspect facilities and equipment for signs of wear, damage, or safety hazards.
 
 Hearing: Sufficient to detect alarms, equipment malfunctions, and communicate effectively in noisy environments.
 

 

Work Environment

A dynamic and varied environment that includes both office settings and on-site locations across multiple facilities. This role requires frequent travel between branch locations to conduct inspections, oversee maintenance projects, and coordinate with vendors and contractors. The role also requires flexibility to respond to urgent facility issues outside of standard business hours, including evenings or weekends when necessary.
