Event Supervisor Job Description

Reporting to: Director of Events & Event Manager 

Summary of Position: Candidates for the job must possess the following qualities.

  • Oversee all print and film shoots, ensuring the collection of imagery outlined in contracts, and aligning with the Events Director and General Manager to maintain our cultural integrity.
  • Oversee all logistical details, including staffing, room setup, catering, audiovisual equipment, and other event-related elements.
  • Collaborate closely with clients to understand their event vision and coordinate all planning and execution aspects.
  • Liaise with external vendors, negotiate contracts, and seamlessly integrate their services into the event. 
  • Must have desire and ability to demonstrate leadership.
  • Must be able to lead training exercises with Management on all Steps of Service.
  • Manage event budgets, track expenses, and ensure cost-effective solutions without compromising quality. Including collecting payment.
  • Must be able to problem solve and be able to make changes to protect the hotel while accommodating the client. 
  • Execute flawless on-site event management, addressing any issues that may arise to guarantee a smooth event flow.
  • Maintain clear and consistent communication with clients throughout the planning stages to ensure their needs and expectations are met.
  • Must be able to operate or learn to operate POS system. 
  • Must have an innate passion and commitment to the art of service.
  • Must comport him/herself with the highest level of professionalism constantly demonstrating excellence to the staff.
    1. Continual business and occupation with tasks and service – seeing you stay busy gives them no rationale for not staying busy.
    2. Impeccable self-presentation – uniform is always crisp, grooming is excellent.
    3. Does not raise voice at other staff members.
    4. Has innately excellent customer service skills – is great with guests whom guests look to for hospitality.
    5. Follows protocols to the letter and embraces new protocols quickly and efficiently.

 

Description

  • Must hold staff accountable for all steps of service and service policies report lack of compliance to Management.
  • Must check side work completely.
    1. Ensure servers complete all side work tasks thoroughly and completely.
    2. Ensure that server’s section is impeccable.
      • All silverware is polished to a shine, at the commencement of shift and throughout-out service.
      • Glasses are polished to a sparkle, at commencement of shift and throughout service – any scratched glasses should be thrown out and recorded via CGS wastage log.
      • The tables themselves are impeccably clean.
      • The floor, walls and bushes are cleared of debris and stains.
  • Monitors uniform cleanliness and grooming of staff according to Uniform and Grooming Standards
  • Oversees timing of breaking of wait staff, ensuring that breaks are taking place within 3- and 5-hour mark. 
  • Ensures that breaks are taken when least disruptive to service.
  • Assists with wine questions regarding wine, spirits, and food – is the go-to person on the floor for all food and alcohol related questions.
  • Must be the main point of contact for the on-site client and be able to problem solve in fast paced manner during events. 

Summary of Physical Requirements:

  • Must be able to seize, grasp, turn and hold objects with hands.
  • Must be able to work on your feet for at least 8 hours.
  • Fast paced movements are required to go from one part of the facility to others.
  • Must be able to move, pull, carry, or lift at least 30 pounds.
  • Kneel, bend, crouch and climb as required.
