🧭 About the Role

As the Office Coordinator, you’ll provide essential operational and administrative support to our corporate leadership team. You’ll be the first point of contact for internal and external stakeholders, manage key office functions, and help ensure the smooth execution of company-wide initiatives.

🔍 What You’ll Do

  • Greet visitors, answer phones, and serve as the first point of contact for the corporate office.
  • Schedule meetings, book conference rooms, and coordinate company-wide events.
  • Manage incoming/outgoing mail, emails, faxes, and packages.
  • Monitor and order office and break room supplies.
  • Submit work orders and coordinate with vendors for repairs and maintenance.
  • Draft, edit, and distribute internal communications such as memos and announcements.
  • Provide administrative support to departments including Finance, HR, and Technology.
  • Maintain organized physical and digital office records and files.
  • Coordinate logistics for meetings, conferences, and events.
  • Prepare reports and reconcile monthly credit card statements for leadership.
  • Conduct research and compile materials for leadership decision-making.
  • 🧠 What You Bring

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • 3 years of experience in an administrative or office support role.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Professionalism, discretion, and a proactive mindset.
  • Ability to multi‑task effectively while managing competing priorities in a fast‑paced environment.
  • Strong organizational skills, attention to detail, and the ability to prioritize tasks.
