Description:

We are seeking a highly skilled, proactive, and strategically minded Executive Assistant to support our CEO and COO who will also oversee daily office operations at our Atlanta headquarters. This hybrid role blends high-level executive support, strategic partnership, and hands-on office management to ensure efficient operations within Core. This role requires exceptional judgment, discretion, and operational acumen. The ideal candidate is organized, solutions-oriented, and comfortable working in a fast-paced environment with shifting priorities.


This is an on-site position in our Atlanta headquarters. 


Essential Duties:

Executive Support

  • Provide comprehensive administrative support to CEO and COO, including complex calendar management, meeting coordination, and travel arrangements.
  • Prepare and edit presentations, reports, correspondence, and internal communications.
  • Manage executive email flow, prioritize messages, and draft responses when appropriate.
  • Handle confidential information with professionalism and discretion.
  • Anticipate needs and proactively address issues to optimize executive productivity.
  • Act as a strategic advisor and thought partner to C-Suite leaders; ensure alignment of priorities, communication, and workflow.
  • Liaise with internal and external stakeholders to extend, redirect, and triage requests and various communications. 
  • Lead preparation and follow-up for meetings, including agenda development, briefing materials, and action tracking.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents. 
  • Support annual planning, performance reporting, and organizational communications.


Office Management

  • Oversee day-to-day office operations to maintain a productive, well-functioning workplace.
  • Manage office vendors, service providers, and building management relationships.
  • Monitor and order office supplies, equipment, and technology needs; ensure workspaces are fully stocked and organized.
  • Coordinate office facilities, repairs, maintenance requests, and workspace setups.
  • Support onboarding logistics for new employees (workspace setup, access badges, equipment distribution, etc.).
  • Answer phone calls and route messages where appropriate.
  • Maintain and enforce office policies, procedures, and safety protocols.
  • Oversee mail, shipping, document management, and general office administration.


Organizational & Cross-Functional Support

  • Act as a liaison between the executive team and internal departments, physician leaders, and external stakeholders. 
  • Support enterprise initiatives by coordinating projects, meetings, and communications across departments. 
  • Assist with planning and execution of leadership offsites, company events, and strategic planning sessions.

Requirements:

Education:

  • Bachelor’s degree in business, communications or related field.


Experience:

  • 7-10 years' experience supporting senior executives, with at least 3 years supporting C-level leadership.
  • Prior experience managing office operations or facilities. 
  • Experience in productivity tools (Microsoft Office) and virtual meeting platforms. 
  • Experience with vendor management, budgeting, and office technology systems.
