Location: Allied Family Club 

Department: Operations 

Status: Full-Time, Exempt       

Reports to: AVP of Operations 

Pay Range: $50,000-$55,000 

Schedule: 10am-6:30pm initial schedule. Must be flexible to meet the needs of the Operations Department


Position Description:  


This full-time position oversees overall Club operations supporting School Aged and Middle School/Teen (members ages 5-18 years of age), and community programs  This position operates within the Club as a licensed child care facility and as assigned Satellite Clubs with the primary concerns for program development, quality and implementation, staff development; supervision of staff; facilities and budget management. This position ensures compliance with WI Administrative Code for Group Child Care Centers and serves as the child care Center Director and Administrator. This position works within the hours of operations for the facility. Assumes vacancies as needed. This position is required to work special events, nights and weekends. 


 

ESSENTIAL DUTIES AND RESPONSIBILITIES  
The fundamental, crucial job duties; the functions the position exists to perform. 

Supervision: 25% 

  • Establish & maintain a Boys & Girls Club that aligns with organization vision & mission that meets the needs of the youth and community served 
  • Establish & maintain a Boys & Girls Club setting that prioritizes the inclusiveness, health & safety of staff, members, families and community members 
  • Oversee Day-to-Day program and community activities 
  • Manage the performance of assigned staff in achieving department & individual goals 
  • Manage assigned team which includes the following responsibilities; Leading the hiring process in collaboration with Human Resources, providing structured onboarding, the completion of annual reviews and develop corrective action plans and coaching when applicable 

Program Development: 25% 

  • Ensure the ultimate Club Experience is created for all members 
  • Evaluate and ensure compliance for Elementary & Teen programs based on Department of Children & Families (DCF) 251/252, organization policies and Boys & Girls Clubs of America (BGCA) expectations 
  • Plan & implement recruitment plan to ensure membership goals measured by total registration & Average Daily Attendance (ADA) are met 
  • Implement assigned grants to fidelity & achieve specified outcomes 
  • Consult with families concerning member behaviors and safety concerns as needed 
  • Mastery in membership tracking, software, reporting & enrollment for registered members 

 Fund Development: 25% 

  • Oversight & development of assigned programs’ revenue & expenditures 
  • Participate in annual fundraising expectations set forth by the organization 
  • Implement financial tools for proper record keeping & reporting for all program membership fees, billing, purchasing & reimbursement requirements 
  • Monitor & maintains WI Shares Childcare payments, policies & procedures 
  • Oversight of community facility rentals 
  • Track outcomes & complete grant reporting expectations 
  • Submit monthly credit card reporting within organizational deadlines  

Community Partnerships: 20% 

  • Establish & maintain a Boys & Girls Club community center that meets the needs of the community served 
  • Develop collaborative partnerships with community organization, businesses and other youth serving organizations 
  • Increase visibility of Club programs through consistent and innovative communications regarding programming, events and services available to the public 
  • Actively participate in community activities to maintain positive public relations and visible engagement 
  • Participate and lead, as assigned, in external/internal boards & committees 

 Volunteer Development: 5% 

  • Identify & lead volunteer opportunities, recruit, onboard, & coordinate volunteer process 
  • Provide a quality volunteer experience to ensure retention & cultivate ongoing relationship 
  • Address volunteer issues/concerns as needed 

 Additional Responsibilities 

  • Attend all Club sponsored special events as assigned 
  • Other duties as assigned by supervisor to support the mission and vision of the Boys & Girls Clubs of Dane County 
  • Assume vacancies as needed 
  • Requires nights & weekends as project deadlines dictate   


RELATIONSHIPS:


Internal: Maintains close contact with assigned Directors and other staff to provide technical assistance in matters of programming. Interacts regularly with the supervisor, colleagues, CEO, and senior management team. 


External: Maintain contact with other vendors, consultants, organizations, and others to achieve program goals and objectives, manage costs, share information, and resolve problems.

 


Work Location: 


This role is a direct service role and on-site daily. Limited telecommuting opportunities. Employees must maintain phone and internet services to be able to complete work as required. Technology equipment will be assigned to ensure employees have access to BGCDC servers and files. Employees may be required to work from their assigned office as needed. All COVID-19 mandated policies must be followed as posted. 


PHYSICAL REQUIREMENTS 


Physical requirements: Ability to read and interpret documents such as safety rules, operating instructions, and policy manuals. The ability to clearly and concisely exchange/receive ideas, facts and/or technical information with others. Ability to visually monitor activities of club members. The employee is required to be able to perform CPR or first aid. The employee is required to use hands to handle or feel and reach with hands and arms. The employee is frequently required to stand, walk, climb, or balance, and stoop, jump, kneel, crouch or crawl. The employee is required to operate a motor vehicle. The employee is occasionally required to sit. The employee may occasionally lift or move up to 20 pounds. Working environment: Normal club environment.

Requirements:

Qualifications: 

  • Required: 21 years of age or older 
  • Required: High School Diploma/HSED/GED 
  • Required: Valid WI Driver’s License with an approved driving record and at least 1-year experience driving
  • Required: Eligibility as a Caregiver as determined by the Department of Children and Families 
  • A minimum of three years work experience in a non-profit agency, with at least two years management and operations experience; or an equivalent combination of experience.
  •  Required: At least one year supervisory experience.
  • Required: Associate Degree in Early Childhood Education, Human Services, Sports Management or other related degree 
  • Preferred: Bachelor Degree in Early Childhood Education, Elementary Education, Social Work, Sports Management or other related degree
  • Highly Preferred: Fluent in Spanish
  • Infant/Child CPR & AED Certification within 3 months of assuming role 
  • Center Director 51 or over via the Registry preferred; Required within 1 year of assuming role
  • Qualified as a Teacher certified via the Registry with a Career Level 7 or Higher

Required Hours: 

Initial Schedule- 10am-6:30pm Monday-Friday

This is an exempt full-time regular position, and therefore, expected to work during the hours of operation and work necessary hours to perform the essential duties of the position, including holidays, weekends and evening hours as needed. Must be able to travel to off-site Clubs, meetings and events.
