About the Role:


MED-EL is looking for an Administrative Assistant who thrives on keeping things organized and running smoothly. This role is the backbone of day-to-day operations — coordinating schedules, supporting leadership, managing communications, and helping ensure nothing falls through the cracks. Primary Responsibilities:


  • Supporting the VP’s daily schedule and the ability to prioritize and swiftly execute a high volume of internal/external requests, scheduling, meeting coordination and office collaboration.
  • Track deadlines, follow up on action items, and help to ensure timely completion of deliverables.
  •  Prepare and organize high quality materials for meetings, presentations, and communications.
  • Handle confidential information with a high level of integrity and discretion.
  • Arrange and book business travel (domestic and international), client meetings, customer events, conference calls, and reserve meeting rooms or external venues as needed.
  • Handle expense reporting and reconciliation for travel, meetings, industry events, client entertainment, and gifts using expensify.
  • Coordinate team activities and events.
  • Coordinating with admin team to ensure smooth and efficient daily operations.
  • Serve as a liaison between leadership, internal teams, and external stakeholders. General administrative support for executive leadership, as needed.
  • Other duties as assigned.


Position Qualifications:


  • Bachelor’s degree strongly preferred.
  • 2 to 3 years of corporate or non-profit administrative experience
  •  Strong interpersonal communication skills, the ability to work as a team and collaborate cross-organizationally.
  •  Excellent written and verbal communication skills.
  • Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint.), as well as Adobe Acrobat. Experience with Microsoft CRM is a plus.
  •  Ability to multitask, prioritize, and manage time effectively.
  •  Attention to detail and accuracy in documentation.
  •  Ability to work independently and complete tasks in a dynamic work environment.
  •  Strong problem-solving skills and ability to multi-task and meet deadlines.
  •  Demonstrate sound judgement, discretion, and professionalism when dealing with executive-level matters.
  •  Ability to quickly adjust/adapt to evolving business priorities, often with little notice.
  • Ability to remain calm and composed under pressure
  •  Located in – or willing to relocate to – Durham, NC
